Job Description
The Office Manager will manage all maintenance requirements and planning, compliance and ad hoc duties to ensure the site, facilities and equipment are fit for purpose.
Key Duties of an Office Manager:
* Organisation of the diary and schedule of the CEO, ensuring appointments and plans are organised appropriately.
* Coordinate any required meetings and/or events.
* Manage all relevant travel and accommodation arrangements.
* Receive and interact with incoming visitors.
* Management of the reception team, ensuring appropriate cover of the reception desk and to be the point of escalation.
* Manage all complaints received from external sources, ensuring they are responded to within the SLA timeframe.
* Coordinate with external vendors and service providers as required such as our outsourced cleaners.
* Foster a positive office culture through your daily interactions.
* Implement and manage office policies, procedures, and best practices to ensure efficiency.
* Deal with higher level complaints or feedback from the site management team and employees to inform a strategic plan for development and maintenance of the site.
* Manage site audits and health and safety compliance of the site.
* Complete KPI and site reports as required.
* Manage the maintenance standards set within the depot in relation to all communal areas, ensuring they are clean and tidy at all times.
* Ensure the site runs smoothly on a day-to-day basis including hospitality and housekeeping of all areas within the remit of the site.
* Provide general hospitality where required.
* Oversee the ordering of equipment and stationery to ensure all site employees are equipped to carry out their roles as required.
* Remain professional at all times when dealing with members of the general public, customers, network colleagues, and other internal personnel.
* Liaise with the site management team to maintain the required standards on site.
* Do not undertake or request others to undertake any works for which you/they do not hold the required competency or authority to undertake.
* Bring to attention any perceived shortcomings in health and safety arrangements, situations, or processes that you consider to be serious, or which may present danger to you or others.
* Do not recklessly interfere with anything provided by the employer or others in the interests of health, safety, or welfare.
* Co-operate with your employer to enable any legal obligations to be complied with.
Qualifications
* IT Literate including Microsoft Word, Excel, and Outlook.
* Demonstrable organisational, time management, and multitasking abilities.
* Excellent written and verbal communication skills.
* Experience managing facilities is desirable but not essential.
* Excellent problem-solving abilities.
* Ability to lead a team and manage performance objectives through one-to-ones and staff appraisals.
* Coach, train, and motivate team members, able to influence and steer to produce high-end results.
