The department
Birketts is now recruiting for an ambitious, driven and forward thinking Client Finance Administrator to come and join our growing team in our spacious Ipswich town centre office. You will join a highly successful, leading Commercial Real Estate and SIPP’s teams which have nationwide clients throughout the UK and consists of 50 fee earners and 10 business support staff.
The 2 teams (Commercial Real Estate and SIPPs) are involved with all aspects of Commercial property and our work ranges from handling specific property and related transactions to advising on the property issues that arise in commercial transactions.
Our Real Estate lawyers are particularly experienced in dealing with development and investment, planning, secured lending, landlord and tenant, agricultural and residential property matters.
Commercial real estate acquisitions are often dealt with in the broader context of major transactions such as company acquisitions or re-organisations. Our team works closely with the firm’s specialist Corporate Team to ensure that our clients are given the best possible advice appropriate to each transaction.
Purpose of job
To work as part of the business services team across Commercial Real Estate Ipswich and SIPPs to provide professional, high level finance administration support.
Accountabilities
1. Providing financial administrative support, ensuring compliance with legal, firm wide and practice group specific policies and procedures.
2. Producing and processing invoices (including write off and invoice narratives) and issuing to clients.
3. Generating regular credit control reminder letters, emails and statements to clients.
4. Liaising with clients by email, letter and telephone in a timely and professional manner regarding unpaid and outstanding debts.
5. Arranging aged debt meetings providing proactive assistance in order to resolve issues and speed up the payment process.
6. Keeping accurate and up to date records of all debt, ensuring that items are followed up and escalated to the central credit control officer at the appropriate point in time.
7. Keeping the team leader up to date with any potential issues with a client's ability to settle bills or general dissatisfaction.
8. Resolving queries both internally and externally with regards recent and outstanding invoices.
9. Actively work with fee earners to close inactive or dormant matters.
10. Working alongside team leaders to conduct quarterly matter summary reviews and ensuring all action points are dealt with in a timely fashion.
Professional Skills:
1. To immediately clarify instructions from fee earners should they be unclear or if deadlines are not made explicit.
2. To respond to internal and external telephone enquiries, regarding invoices and finance, politely and professionally, logging information appropriately.
General Approach
1. To show a positive approach and interest in the work that your fee earners are undertaking.
2. Show initiative when responding to queries and actively try to seek solutions to problems.
3. To support and build working relationships with your own fee earners as well as other members of the team and to actively work for the interests of the whole team, specifically regarding finance systems and finance administration.
4. To support and build working relationships with your colleagues in the secretarial team.
