About the Responsibilities:
Joining as Practice Manager and Executive Assistant, you will be a key team member supporting with the overall running of the firm. This role will involve:
1. Client onboarding, including sending engagement letters, completing risk assessments and customer due diligence including management of professional clearance.
2. Overseeing client deadlines, keeping clients updated and requesting information when necessary.
3. Tracking client tax refunds.
4. Credit control for the practice including emailing monthly statements to clients and following up with overdue invoices.
5. Sending firm-wide communication to clients with relevant policy changes and important updates.
6. Management of books/files both inbound and outbound as well as post allocation and ensuring files are scanned and saved to correct folders.
7. Ongoing client review work annually and maintaining database (TaxCalc) with updates to client information.
8. Company secretarial work experience desired but not essential - responsibilities include updating Companies House with details and amendments.
9. Client disengagement, providing correct information in a timely manner to newly appointed accountants when required.
10. Providing a friendly point of contact to clients including meeting and greeting clients visiting the office, manning reception and responding to queries from staff and clients.
11. Communicating staffing updates and business changes.
12. General support and assistance to the team including administrative duties.
13. Organising staff events.
14. Booking staff training courses.
15. Scheduling office works, arranging contractors etc.
16. Maintenance and upkeep of office area, liaise with handyman/cleaners and other contractors where required.
17. Ordering office supplies.
18. Keep HR policies up to date (liaise with our HR subcontractors).
19. Diary management and email monitoring for the partner of the practice.
