We are growing rapidly and are looking to hire an ambitious and experienced Operations Coordinator to join our London Office.
The role
As Operations Coordinator your role will include duties such as administration, project management, team/exec assistance and office management, and will report to the COO based in London. You will be a key cog of the company, ensuring we run our business operations smoothly and to a high professional standard.
Due to the nature of the role, this is not a remote working role. We are currently operating a hybrid work policy.
Your responsibilities will include
Commercial and Company logistics:
* Operations coordination for company commercial activities, such as hosted events, conference visits and business trips, including logistics and meeting management.
* Coordination of company meetings, staff social and cultural events, intra office travel and other select internal meetings – including planning, setup and logistics.
* EA support – providing support for CEO and Co-Founders, including logistics and diary management.
Operations support:
* Supporting Legal & Compliance function with tracking, documentation and reporting.
* Supporting Finance and HR with regards to select projects and administration, such as select supplier management and staff surveys.
* Ad hoc support for operating matters for CB offices around the world (USA, India), which may require some assistance outside of UK office hours.
Office management:
* Employee asset coordination – such as making available IT equipment, access cards.
* Switchboard management.
* Reservation of meeting rooms for internal and external meetings.
* Management of select office equipment, inventory and subscriptions.
* Coordination of post/courier and delivery management.
* Acting as the company Fire Warden and assessing risks within the office/building, logging and dealing with any health and safety incidents.
* Liaise with building management regarding building and office issues.
* Access setup and coordination for new employees, visitors and leavers.
What we are looking for
Ideally you will:
* Minimum 2 years’ experience in a professional office environment, ideally in a technology or financial services company.
* Previous experience of working as a PA/EA/office manager or in a similar role requiring a high level of organization and support.
* High level of organizational ability and planning, strong attention to detail.
* Ability to prioritize and multi-task, and ability to work unsupervised and on own initiative.
* Fluent English (required), other languages a bonus.
* Strong IT skills in Microsoft Word, Outlook, PowerPoint and Excel. Experience of Slack, Atlassian and Salesforce helpful.
* Excellent written and spoken communication skills.
* Strong interpersonal skills, including tact, discretion and experience of liaising with senior stakeholders and staff.
* Self-motivated with a positive can-do attitude, high degree of professionalism and motivation.
* Highly personable and enjoy working in a team.
* Be eligible to work in the UK.
