The Role
We’re looking for an enthusiastic and highly organised Office Assistant and Booking Coordinator (Maternity Cover – potential for permanent) to support our mission. In this role, you’ll be an integral part of our day-to-day operations, ensuring smooth administration and providing exceptional service to clients while promoting our free School Workshops.
What You’ll Be Doing
Booking Coordinator Responsibilities
1. Manage incoming booking enquiries from schools, coordinating with our facilitators.
2. Provide educators with detailed workshop information, including content, objectives, and scheduling.
3. Deliver exceptional customer service by addressing questions and resolving concerns promptly.
4. Maintain accurate records of interactions, bookings, and potential leads.
5. Collaborate with the bookings team to meet and exceed targets.
Office Assistant Responsibilities
1. Collect and manage feedback forms from schools, sharing insights with our team and facilitators.
2. Log and track cancellations, tech issues, and other operational challenges through internal reporting.
3. Maintain accurate records for freelance staff, including compliance documents like DBS checks.
4. Post/send recruitment adverts and organise applications for manager review.
5. Reconcile freelance facilitator invoices against completed sessions.
6. Conduct research to identify new opportunities and contacts for business growth.
About You
We’re looking for someone with the following skills and attributes:
1. Outstanding communication skills and a friendly, engaging telephone manner.
2. Strong interpersonal skills and the ability to build rapport.
3. Self-motivated, results-driven, and comfortable working independently.
4. Familiarity with MS Excel and Microsoft based systems.
5. Previous experience in telephone marketing or customer service is an advantage.
6. Experience working in either primary or secondary schools is an advantage.

Key Details
1. Location: Based in Meriden, Coventry.
2. Contract: Initial 12 month contract (Maternity Cover), with potential for permanent placement.
3. Schedule: Part-time (3-4 days a week), 09:00–16:00.
4. Salary: £12.50 per hour - £11,313.75 per annum based on working hours of 21 hours per week on a term time contract (working 37.5 weeks in the 12 month contract).
5. Holiday: 4 weeks annual leave plus bank holidays.
