G4S Facilities Management are recruiting a Works Allocation Scheduler on a full-time, permanent basis based in Cheltenham. We are in search of a dedicated and professional candidate to join our site-based operations team, ensuring the successful completion of all scheduled tasks. This position will involve overseeing the coordination of contracted supply chain resources to execute both planned and reactive tasks utilizing the CAFM system. Additionally, the role will support the scheduling of Hard FM engineers for both planned and reactive work, while ensuring adherence to all health and safety regulations and site protocols. Responsibilities Ensure that Contractors and Suppliers are coordinated to undertake delivery of Planned Preventative Maintenance (PPM) and repair Work (RW) works. Report weekly/monthly on all tasks that are not able to be completed. To ensure that records within the CAFM system are accurate to ensure a full audit trail. Ensure that the Insurance Inspection regime is maintained Co-ordinate the allocation of the Security Escort team Ensure that Contractor Planned Maintenance delivery is effectively scheduled in advance each month/year. Ensure that the CAFM system is utilised to appropriately schedule all PPM delivery across the operational team and to work with the management teams to ensure smoothing of workloads. Provide the appropriate communications to our client (in line with their policy) advising of any works that could have an impact upon Site Operations Providing regular updates and reports on performance to the Management Teams. Processing of supplier paperwork ensuring that the appropriate logbooks are kept up to date for areas of responsibilities. The Ideal Candidate: Essential Proficient in Google Office Suite and comfortable using other standard office software. Demonstrated ability to provide excellent customer service and communicate effectively with diverse audiences, both verbally and in writing. Ability to take ownership of tasks and prioritize effectively in a fast-paced environment Proven experience working in a facilities management environment. Desirable Experience working with Computer-Aided Facilities Management (CAFM) systems, preferably Maximo Proven ability to generate accurate and informative reports.
