Job Description The HR Assistant is responsible for the day-to-day administration of the Human Resources function. The HR Assistant and HR Advisors are expected to support and help each other, and to cover each other’s absence. The role is office based and will require you to come to the office 3 days a week. (4 days during probation and flexibility required thereafter). Assist and support the Human Resources team with general administration tasks Supervise the HR team inbox and triage initial queries or help where possible Manage all HR filing and archiving Maintain the e-files on Desksite and regularly update the HR Guidebook Log and process all invoices and credit card purchases on behalf of the team Prepare general standard correspondence for members of the team, e.g. letters, references Ownership of the weekly movement sheet reporting, chair weekly meetings with the HR team to discuss/finalise any changes and circulate to other support teams Maintain all key spreadsheets for the team, including department structure charts, maternity and secondment spreadsheets Manage the administration of the new joiner process, including background checks, arranging inductions and preparing induction packs, highlighting any potential issues with the HR Managers “Super-user” of the HR system (Workday), including new joiners, leavers, and changes. Run reports from Workday both for the team and other departments when necessary. Act as primary contact within the team for any queries or problems. Liaise with HR Systems in relation to any issues Work closely with the HR team to administer the monthly payroll changes Run the monthly overtime reports Administer changes as necessary within the benefits system (Zest). Act as primary contact within the team for any queries or problems, escalating to others in the team as necessary Organising periodic benefit and wellbeing webinars as requested Administration of key dates (5 years’ service etc.), wedding gifts, ordering flowers, eye tests etc. Manage the leaver process, ensuring all exit interviews are conducted and feedback passed to the Director of HR or HR Managers where needed Assist with all absence monitoring and administration – e.g. weekly sickness reports Provide cover in the absence of the HR Advisor and, where required, Early Careers Recruitment Advisor/Assistant and Recruitment Coordinator Continually review existing HR processes and procedures, suggesting any efficiencies or improvements as noticed Maintaining HR portal and HR Guidebook Other ad-hoc projects or duties as required.
