Sleights and Sandsend Medical Practice is currently looking to fill a vacancy for a medical receptionist and administrator. We are looking for a hardworking, energetic person who takes pride in helping others with excellent customer service skills.
Main Duties of the Job
The job holder will be responsible for undertaking a wide range of reception and administrative duties and the provision of general support to the multidisciplinary team. Duties can include but are not limited to, greeting and directing patients, patient registration, booking appointments, processing of information (electronic and hard copy) and assisting patients as required. To act as the central point of contact for patients, the distribution of information, messages and enquiries for the clinical team, liaising with multidisciplinary team members and external agencies such as secondary care and community service providers.

Job Responsibilities
The following are the core responsibilities of the receptionist/administrator. There may be on occasion, a requirement to carry out other tasks; this will be dependent upon factors such as workload and staffing levels:
1. Process in person, telephone and e-requests for appointments
2. Answer incoming phone calls, transferring calls or dealing with the caller's request appropriately
3. Care navigate patients to the correct service
4. Process incoming and outgoing mail
5. Initiating contact with and responding to requests from patients, team members and external agencies
6. Process referrals to external agencies such as secondary care using the electronic referral system (ERS)
7. Process inbound letters as requested
8. Process all did not attend (DNA) letters in accordance with current policy
9. Read code data on the clinical system
10. Photocopy documentation as required
11. File and store records as required
12. Input new and temporary registrations and relevant patient information as required
13. Input data into the patients' healthcare records as necessary
14. Scan patient-related documentation and attaching scanned documents to patients' healthcare records
15. Process requests for information i.e. SAR, insurance/solicitors letters and DVLA forms to the administrative team
16. Manage all queries (including administrative queries) as necessary in an efficient manner
17. Carry out system searches as requested
18. Maintain a clean, tidy, effective working area at all times
19. Monitor and maintain the reception area and notice boards
20. Support all clinical staff with general tasks as requested
21. Complete opening and closing procedures in accordance with the duty rota
22. Ordering and monitoring of stationery supplies
