Linsco are looking for a Site Administrator to start work on a new build housing site in Nottingham, Clifton, Ng11\n\nYou will play a critical role in supporting the smooth running of a new build housing site by providing comprehensive administrative assistance. You will be responsible for managing site documentation, maintaining records, supporting the project team with administrative tasks, and ensuring effective communication between site teams and the head office. Strong organisational skills, attention to detail, and proficiency in Microsoft Excel are essential for this role.\n\nKey Responsibilities:\n\nDocument Management:\n\nMaintain up-to-date site records, including project documentation, permits, and compliance certificates.\nOrganise and file all site paperwork, ensuring that it is easily accessible and compliant with legal requirements.\nEnsure all filing (both digital and hard copy) is completed accurately and in a timely manner.\nData Entry & Reporting:\n\nEnter site data (such as progress reports, attendance records, and material deliveries) into Excel spreadsheets and company databases.\nGenerate reports and track key project metrics using Excel, ensuring the accuracy and relevance of the data.\nMonitor site budgets, track expenditures, and update cost reports when required.\nSite Coordination:\n\nAssist in the coordination of on-site activities by maintaining communication between subcontractors, suppliers, and the project management team.\nCoordinate delivery schedules and ensure that all necessary materials are ordered, delivered, and stored properly.\nMaintain attendance records, timesheets, and payroll information for site staff.\nHealth & Safety Compliance:\n\nEnsure all health and safety documentation, such as risk assessments, method statements, and site inductions, are kept up to date.\nAssist the site team in ensuring compliance with health and safety regulations.\nGeneral Administrative Support:\n\nManage incoming and outgoing communications, including phone calls, emails, and on-site meetings.\nOrganise and schedule meetings, site inspections, and client visits.\nProvide administrative support to the Site Manager and wider site team.\n\nSkills and Experience Required:\n\nProficiency in Microsoft Excel:\n\nAbility to create and manage spreadsheets for tracking project progress, finances, and schedules.\nExperience with using Excel formulas, pivot tables, and charts for data analysis and reporting.\nOrganisational Skills:\n\nStrong ability to manage multiple tasks, prioritise effectively, and maintain organised filing systems.\nExperience with both digital and physical filing methods to ensure documentation is easily retrievable.\nAttention to Detail:\n\nHigh level of accuracy when entering data and managing records.\nAbility to review documents for errors or inconsistencies and ensure they meet required standards.\nCommunication Skills:\n\nStrong written and verbal communication skills to facilitate smooth interaction between the site team and head office.\nAbility to communicate effectively with external parties such as suppliers and subcontractors.\nIT Skills:\n\nGood working knowledge of Microsoft Office Suite (Excel, Word, Outlook).\nFamiliarity with project management and construction software (advantageous but not essential).\nExperience:\n\nPrevious experience in an administrative role, ideally within construction or a similar fast-paced environment.\nKnowledge of construction site processes, terminology, and health & safety regulations (preferred).If you feel you have the relevant experience for this role, please apply with your CV.
