We’re seeking a talented individual to join as Executive Personal Assistant in London. This opportunity is to enhance the performance of the relevant Executive Committee member by providing PA and administrative support to particular member(s) of the Executive Committee and, when required, any other members of the Committee and their direct reports.
Responsibilities
As Executive Personal Assistant, your responsibilities will include:
* Diary Management, including arranging meetings, meeting room and hospitality; booking travel, accommodation, and restaurants.
* Assist with preparation for meetings which may include PowerPoint presentations, assembling Word documents, creating PDFs; note and minute taking; and following up on any action points as a result of the meeting.
* To be the gatekeeper to the Executive Committee member’s time ensuring that it is prioritised and spent in the most efficient and effective manner to suit the business and their direct reports.
* Communication: including emailing, answering telephones, and typing of correspondence.
* Provide Administrative and Secretarial support to the direct reports of member(s) of the Executive Committee member, and their teams, as and when required.
* Complete meeting packs and minutes for Portfolio and Committee meetings.
* General Office duties, which may include submitting expense claims; coordination of holidays within the business unit(s); ordering of stationery and business cards; maintaining up-to-date details for business contacts; safe keeping of documentation and filing.
* Ensure all tasks are followed through to completion with commitment to maintaining high standards.
* Consistently demonstrate the core values, contributing to the business in a helpful, polite, and professional manner undertaking any task however big or small.
* Summarise and maintain relevant audit log references, such as fund manager meetings, core programme and asset allocation decisions, etc.
* Keep the Executive Committee member aware of the day-to-day progress of the business highlighting both problems and successes.
* Cover, support, and share best practices, and work as a team with all (Executive) PAs to effectively help the whole Executive Committee and the wider business where necessary.
* Proactively underpin and support the organisation’s business strategy and people at the highest and most influential level with trust and discretion.
Qualifications

* Ability to work as part of a team and individually.
* Previous PA experience at an executive level.
* Previous experience in a financial services organisation or customer environment.
* Capable of taking the initiative and making decisions.
* Knowledge of people management practices & procedures.
* Positive hands-on style, with a flexible approach to changing priorities and needs in a fast-paced environment.
* Ability to communicate clearly and effectively with senior leaders and a range of stakeholders.
