About the role: Location: Hybrid, Aberdeenshire Hours: 37.5 hours per week To consistently be in line with our commitment to promote exceptional health and safety standards across the company, we are hiring for an HSEQ Administrative Assistant to contribute significantly to our ongoing dedication to a safe work environment. The HSEQ Administrative Assistant will provide first point administrative support within the HSEQ Department. This will support and play a key part in document control, compiling statistics, and HSEQ Inductions being issued efficiently and managing internal systems to ensure we are providing excellent service both internally & externally. About the team: Reporting to the Group HSEQ Manager, the HSEQ Administrative Assistant will provide first point administrative support within the HSEQ Department. As part of our mission is to help our staff maintain a safe environment and increase awareness of how to spot any safety concerns. This role will play a massive part in making that happen. Responsibilities: Adopting the Motive Offshore Group People Values and ensuring their use is embedded throughout day-to-day tasks and decision making. Document Control - timely, accurate and efficient preparation, revision and management of documents (including risk assessments and COSHH Assessments) within the company Management System. Typing up of reports e.g. internal audit reports, incident reports etc. Compiling of HSEQ Statistics including collation of carbon emissions and sustainability data Assisting in the New Start Induction process Notifying relevant departments when scheduled maintenance is required and updating the system Maintenance and updating of the NCR and Action Tracking System Provide admin support to other departments where required with bid proposals, completion of external provider evaluation questionnaires, doc control etc. Administering company ICE cards (observation reporting system) Administering the Approved External Provider System Administering of company notices / posters and updating of company noticeboards Arrangement and Booking of HSEQ Training and Health Surveillance appointments when required Maintenance of the HSEQ inbox ensuring incoming emails are assigned to the relevant HSEQ Team member and actioned accordingly Assisting in creating and distributing any HSEQ specific related communications / alerts, posters etc with guidance from other HSEQ Team Members. Recording and updating actions in HSEQ Team meetings and other meetings as requested Minute taking and timely distribution of HSEQ meeting minutes Develop strong working relations with key stake-holders – clients, colleagues etc. To be a positive ambassador for Motive Offshore Group Ltd. To uphold the Motive Offshore Group People Values Key HSEQ Accountabilities: Promote The Motive People Values, HSEQ procedures and best practice, ensuring compliance to the Motive Offshore Group HSEQ Policy, procedures, standards and regulatory obligations. Immediately report all accidents, incidents, near misses or environmental concerns Adhere to and participate in company-wide sustainability policies, procedures and initiatives as they are developed to support our Net Zero objectives. Learn and abide by the Motive HSEQ integrated Management System including HSEQ Procedures and regulations that pertain to their work, and communicate their concerns to their Manager Participate in proactive HSEQ systems in place such as ICE Card and STAR Cards Practice good housekeeping Minimise and segregate waste wherever possible Familiarise themselves with the Emergency Procedures for their working area and to know the locations of emergency equipment and how to properly use it where applicable; Not interfere with or misuse anything provided in the interests of health, safety and welfare. Stop the Job if they have any concerns and to immediately communicate their concerns to their Manager Responsible for their own work and the verification of the quality of their work Assist the company in its efforts towards continual improvement Maintain positive communication with peers and customers Required skills / knowledge: Capacity to multi-task with organised approach whilst maintaining a high degree of accuracy Excellent communication skills and ability to foster effective working relationships both within the HSEQ Team and colleagues throughout the wider Motive Group Excellent computer literacy with Microsoft Office products, including Sharepoint and ability to learn bespoke Motive system Team player Ability to exercise discretion and maintain confidential information Self-motivated and ability to work under pressure.
