We are seeking a proactive Helpdesk Administrator to join our client's team, supporting the coordination of electrical and mechanical maintenance. The ideal candidate will have experience in a fast-paced construction environment and strong administrative skills. Key Responsibilities: Maintenance Coordination – Schedule and manage reactive and planned electrical and mechanical maintenance, ensuring efficient allocation of engineers and timely completion of work. Diary Management – Oversee engineer schedules, ensuring planned maintenance visits and reactive call-outs are effectively coordinated. CAFM System Management – Accurately update and maintain their CAFM system, ensuring records of work orders, engineer activities, and job status are up to date. Engineer Paperwork Processing – Review and process engineer reports, ensuring all completed jobs are logged correctly and relevant details are recorded. Client Updates & Communication – Act as a key point of contact for clients, providing timely updates on job progress, maintenance schedules, and issue resolutions. Cost Calculation & Invoicing – Accurately calculate costs for completed work, prepare invoices, and ensure timely billing to clients. Issue Resolution – Proactively address any scheduling conflicts, incomplete paperwork, or client concerns, ensuring a high standard of service. Compliance & Documentation – Ensure all administrative tasks comply with company policies and industry regulations, maintaining accurate records and documentation. Requirements: Previous experience in a busy construction environment (essential). Excellent organisational and multitasking skills, with the ability to manage multiple jobs simultaneously. Strong attention to detail when processing paperwork, calculating costs, and updating systems. Proficiency in Microsoft Office (Excel, Outlook, Word) and ability to learn new software quickly. Excellent verbal and written communication skills for liaising with engineers, clients, and internal teams. Ability to work under pressure and meet deadlines in a fast-paced environment.
