The Vacancy
The Financial Planning Assistant delivers administrative service and support to our financial consultants, clients and introducers and responds to requests from the supporting functions. This is achieved by having a clear and precise understanding of all the processes and procedures that are undertaken within the administrative team.
Role Responsibilities:
* Prepare application forms and other documents needed for first and second meetings with new clients
* Process new business including liaising with clients and providers to ensure accurate information is obtained and recorded
* Print and issue physical copies of any reports
* Handle the establishments of Personal Injury Trusts after the initial viability assessment and assist clients to open Trust Bank Accounts
* Handle client withdrawal requests in a timely manner
* Handle client top-ups to investments, and communicate with the client to provide them with progress updates and completion confirmation
* Deal with client disengagements through encashments, transfers out and death, ensuring the back-office system is kept up to date
* Manage incoming and outgoing post
* Manage incoming calls to the main office line
* Maintain client records and liaise with providers to update them on client information such as change of names, addresses
* Prepare and issue invoices for expert witness work and any other ad-hoc fees
* Prepare and issue ad-hoc letters
* Generate MI for team meetings
* Perform role always ensuring adherence to the expected behaviours stated in the FCA Conduct Rules
Knowledge, Skills and Experience:
* Experience in a similar role as an Administrator within Wealth Management
* Demonstrable interest in and understanding of financial services
* Proven organisation, planning and prioritising skills
* Demonstrable level of attention to detail
* Ability to engage with diverse clients, Professional Advisers, Investment Managers, product providers and internal stakeholders
* Passion and energy to deliver successful outcomes for our clients
* Proficient in the use of Microsoft Office suite and relevant practice and business IT systems, particularly Intelliflo
* Excellent oral and written communication skills
* Excellent time management and organisational skills
* Able to work on own initiative
* Ability to cope with tight deadlines
* Sensitivity towards vulnerable clients
