As we continue to grow in a dynamic and fast-paced environment, we are seeking a proactive and detail-oriented Operations Assistant to support the Operations Manager in streamlining processes and ensuring operational efficiency. This role is ideal for someone with a can-do attitude who thrives in a scaling business.
Role Overview:
The Operations & Admin Assistant will provide essential support to the Operations team, assisting with investor onboarding, compliance, data management, marketing administration, office management, and general business operations. This role is critical in ensuring smooth operational processes, accurate data handling, and effective communication across departments.
Key Responsibilities:
1. Investor Onboarding & KYC Support (KYC checks, data verification, and documentation)
2. Maintain and update investor data rooms
3. General Operations & Administrative Support to the full team (handling documentation, internal reporting, and scheduling)
4. Maintain and update corporate, HR, and compliance policies (in coordination with management)
5. Handle document management (including drafting, formatting, and arranging electronic signatures).
6. Data entry and record-keeping (for the loan book, borrowers, and investor records)
7. CRM & Data Management (HubSpot - Input and maintain accurate client and investor data & ensure marketing lists, investor outreach records, and contact databases are updated and maintained)
8. Assist in designing basic marketing and branding documents (including presentations, investor decks, and templates)
9. Maintain corporate templates with the latest branding standards.
10. Support on PR and marketing admin (including coordinating campaigns and updating company materials)
11. Office & Team Coordination (manage diaries and schedules for the wider team, including arranging travel where necessary)
12. Basic office management (including ordering supplies and coordinating team logistics)
13. Assist with event planning, team meetings, and external stakeholder coordination.
Key Skills & Competencies:
✅ Detail-oriented – Ensures accuracy in data input, document management, and compliance tracking.
✅ Highly organized – Able to juggle multiple tasks efficiently, from onboarding investors to assisting with reports.
✅ Tech-savvy – Comfortable using HubSpot CRM, Microsoft Office, and basic design tools (Canva or similar).
✅ Strong communication skills – Professional email and document handling with investors and stakeholders.
✅ Proactive problem solver – Takes initiative in improving processes, organizing data, and supporting the team.
✅ Experience with KYC & compliance (preferred, not necessary) – Some understanding of financial compliance and investor due diligence.
Requirements:
• Experience: Min 1 year experience in operations, admin support or compliance
• Tech: Familiarity with CRM systems, Microsoft 365, DocuSign, and basic design tools.
• Preferred: Prior experience in finance, legal, or investment sectors is a plus.
• Education: Degree or diploma in Business Administration, Finance, Marketing, or related fields preferred, not necessary.
