Role: Admin Assistant
Location: Central Poole, with parking
Full / part time: Full Time, Office Based, Mon-Fri, 9:00-17:30
Reporting to: Operations Lead
Salary: £24k per year (dependent on experience)

Projects
* Management of existing and future UKSPF Projects into 2025 and beyond
* Prepare for the month ahead – keeping aware of what is needed from an admin point of view across all projects
* Peer Group organisation (Plus & Classic)
* Pre-event reminders sent, and relevant team members informed of guest list
* Event setup (i.e., printing, room setup, lunch orders)
* 1:1 monthly calls booked in
* WhatsApp group monitoring and addition of new members
* New member onboarding – welcome email, diary invites, DD setup
* Diary invites kept updated with correct time, location, and attendees
* Lunch ordering on peer group days
* Social gatherings organisation
* Ensure following year diary dates/invites organised and sent well in advance
* If a member would like to cancel, sort relevant items: diary invites, cancellation of DD
Admin
* Workbook stock take and ordering based on upcoming events (for all team)
* Diary Management of team
* Sending relevant event reminders for all team members
* Send follow-up emails after sessions, if needed for all team members
* Check workbooks are ordered for relevant topics (for the whole team)
* Book event spaces and ensure expected arrival, where relevant
* Book relevant internal meeting rooms for calls/meetings using new Outlook diaries
* Keep HubSpot Diary links up to date and escalate any issues
* Daily Health and Safety check of the office
* Upkeep of tidy working space
* Food shop/milk order based on events/diaries
* Stock take of notebooks/pens and order when necessary
* Monitor hello@ inbox, answer emails, and forward to relevant team members
* Assist with Evolve event organisation as needed, following direction from Amy/Rachel
* Manage food orders
* Pre and post-event emails if needed
* Assist with Evolve marketing as needed, following direction from Amy/Rachel
* Prepare team meeting agendas before each meeting (1-2 days prior)
* Book events for team members they wish to attend
* Manage Evolve work phone – answer, reply to texts and WhatsApp messages
Miscellaneous / AOB
* Virtual address upkeep, advising clients when post arrives, and scanning if needed
* Organise Evolve team social gatherings
* Assist with any office upkeep (i.e., organising window cleaners, etc.)
* Management of office cleaner, providing access and sorting what is needed
* Attendance at Evolve events – banners, check-in/welcoming
