I am currently working with an FE College in Dudley who are looking for a Temporary Personal Assistant to the CFO/ Vice Principal and Director of HR

Main duties will include but are not limited to:
Providing a high standard of confidential personal assistance including secretarial and administrative support to the CFO/Vice Principal and Director of HR.
Managing the CFO/Vice Principal and Director of HR’s diaries – planning and co-ordinating the schedule ensuring it is manageable, appropriate and their time is effectively deployed.
Arranging meetings inviting attendees, booking venues and hospitality.
Supporting the CFO/Vice Principal and Director of HR ensuring they are prepared for meetings with the correct documentation.
Working closely with the CFO/Vice Principal and Director of HR ensuring timely reminders of all upcoming deadlines, responsibilities and commitments, following up where necessary.
Assisting in resolving administrative issues and challenges that may arise in the course of the CFO/Vice Principal and Director of HR’s work.
Maintaining and organising the CFO/Vice Principal and Director of HR’s information sources which may include sensitive or confidential information that requires discretion.
Organising travel itineraries, booking transport and accommodation.
Responsibility for policy management of all CFO/Vice Principal and Director of HR’s policies.
* Formatting and producing high quality communications, reports and presentations to deadlines and in house-style, using appropriate software.
* Taking minutes/records of CFO/Vice Principal and Director of HR’s meetings as required.
Welcoming external guests on the CFO/Vice Principal and Director of HR’s behalf.
In the absence of the CFO/Vice Principal and Director of HR, dealing with internal and external enquiries and initiating action, liaising internally with senior staff as necessary.
Keeping aware of developments within the College as they affect the CFO/Vice Principal and Director of HR’s work.
Working as part of the Executive Office team providing a professional service, which could include other administrative support to the wider College Leadership Team.
* Assisting in timely preparation of papers for the Corporation (including its committees) for both CFO/Vice Principal and Director of HR.
Supporting College promotional events such as Open Events, Staff Awards, Student Awards and Graduation celebrations.
General administrative duties.
Acting in a manner which reflects the college values.
Undertaking all mandatory training such as safeguarding, Prevent, and health and safety in a timely way.
Any other duties which may from time to time be required and which are commensurate with the level of this post.

Person Specification:
* Previous experience of working as a secretary or personal assistant.
* Computer literate, organised, and able to work methodically and accurately.
* Excellent I.T Skills
* Ability to question and analyse information
* Good organisational and administrative skills

* Able to maintain confidentiality
* Ability to demonstrate a professional, empathetic and customer focused approach.

The Daily Rate for this position will be open for negotiation.
