In this crucial role, you'll play a key part in supporting the maintenance of statutory, regulatory, and corporate requirements, while assisting in building surveys, inspections, and task planning. Responsibilities: Supporting with communication literature such as letters. Liaison with contractors regarding their programme of works. Supporting and assisting with the no access process, ensuring systems are updated, requesting evidence from contractors, contacting customer to rearrange appointments, and completion of paperwork to support the escalation procedure. Liaise with Internal Teams to check for any lifetime injunctions and request their support on gaining access to properties to carry out the safety inspections. Notify Voids Team of any due compliance works in accordance with the Operational Compliance Guidance. Liaise with Internal Teams when the Contractor is unable to undertake safety inspections due to the lack of credit in meter. Validate electronic and handwritten certification, update details in the appropriate systems and ensure that the data of last and next service is recorded correctly. Ensure defects are logged, recorded, and progressed in accordance with the Operational Compliance Guidance. Update information supplied by Contractors into the appropriate systems, ensuring they are within their due date, check for accuracy, flag up any gaps to the Business Lead To facilitate operational meetings with Contractors, compose agenda’s, take minutes, provide necessary support to the Business Lead. Record all post inspections and audit data to ensure accuracy within the system. Need to have up to date knowledge of all operational areas in accordance with Operational Guidance. Run reports in accordance with Operational Guidance. Progress any follow up work in accordance with Operational Guidance. Produce necessary information required for audit purposes, as instructed by the Business Lead. Ensure that details of the contractor’s competence are recorded on the contract file. Ensure file naming protocols are followed in accordance with Operational Guidance. Provide support that ensures the accuracy, validation and integrity of compliance data and the effective storage and retrieval of compliance records and documentation. Ensure all work areas are successfully delivered within target and standard and that evidence and audit trails are maintained. Responsible for ensuring that IT systems, databases and processes are updated to provide evidence and assurance for audit purposes. Possess the technical expertise and knowledge to collect and update the asset management, housing, and financial management systems, including scrutinising documentation and service records for accuracy and completeness. All other duties associated with ensuring that the compliance team meet the organisations statutory and regulatory obligations and comply with the policies and management plans. Contribute to the delivery of the operational plan and the development of an outstanding service that makes a positive contribution to the Torus vision in a manner that reflects the Torus values. Skills & Experience: Educated to GCSE (or equivalent) grade 4 or above in at least Mathematics and English or able to demonstrate an equivalent level of knowledge gained through extensive and relevant experience within an applicable work function. Level 3 qualification in Business Administration or equivalent Experience of delivering a business/compliance support service within a property maintenance or technical working environment. Evidence of and commitment to continual professional and personal development. Demonstrate the ability to use IT programmes and platforms to maintain accurate records, analysing and updating core IT systems and databases associated with statutory maintenance and compliance programmes of work. An understanding of health and safety legislation relevant to property maintenance and construction projects. Evidence of co-ordinating and demonstrating the importance of value for money in everyday operations. Demonstrate a commitment to H&S to ensure safe operations and environment for staff and customers. Demonstrate a high level of skill in business support gained through extensive knowledge and relevant experience. A proven track record in delivering a business support service within a property maintenance environment.
