We are one of London’s leading renewable technology installers, installing 1 out of every 10 heat pumps under the BUS grant, and are growing fast.
The Operational Assistant role is a pivotal role responsible for managing and streamlining activities across Marketing, Sales, Project Management, After Sales, and Company Administration. The ideal candidate is highly organized, proactive, and adaptable, capable of handling diverse tasks while maintaining high attention to detail and ensuring effective communication within and outside the organization.
Work will be in a co-working space in Camden, as well as option of home office for 1-2 days a week after initial training.
Responsibilities
Marketing
* Prepare for trade fairs, including coordinating logistics, overseeing printed materials, and liaising with external vendors.
* Ensure all marketing materials align with brand guidelines and are delivered on time.
Sales
* Record and organize information from prospective clients.
* Schedule follow-up calls and site visits for the field team.
* Manage invoicing, contract preparation, and dispatch to clients.
* Track payment statuses and follow up on overdue accounts.
Project Management
* Create and maintain detailed materials lists; ensure timely procurement.
* Plan and schedule jobs, ensuring alignment with team capacity and deadlines.
* Prepare commissioning documents and coordinate grant applications for eligible projects.
After Sales
* Oversee the scheduling of post-project services and support.
* Respond to frequently asked questions and provide support to clients as needed.
Company Administration
* Manage accounting tasks, including invoicing and maintaining accurate financial records.
* Coordinate logistics for trade fairs and ensure compliance with relevant insurance policies.
Additional Tasks
* Track team holidays and update schedules accordingly.
* Organize Econic day events and team-building activities.
* Serve as the first point of contact for phone calls and inquiries, providing exceptional customer service.
* Set up new employees with email addresses, access to internal tools (e.g., Monday accounts), and onboarding materials.
Skills
* Organizational Skills: Ability to manage multiple tasks and priorities across departments.
* Communication: Strong written and verbal communication skills for liaising with clients, vendors, and internal teams.
* Technical Proficiency: Comfortable using tools like CRM software, accounting platforms, Excel, and project management tools (e.g., Monday.com).
* Attention to Detail: Ensures accuracy in documents, schedules, and customer interactions.
* Proactive Problem Solving: Identifies challenges and proposes solutions promptly.
* Team Player: Works effectively across departments and fosters collaboration.
