Duties and responsibilities: - To manage the Medical Records team - To ensure the team provide a high standard of service to all patients and consultants. - To manage workload effectively and efficiently in line with the demand of the business. - To be an advocate of excellent customer care whilst working as a team. - To make a positive difference to our patients lives through outstanding personalised care. - To ensure an accurate, efficient secretarial service is provided to consultants in line with policies and to ensure the service is making a profit for the business. - To drive Consultant engagement and manage relationships between Consultants and Medical Secretaries Who we're looking for: - To manage a team who can adapt to the demands of the business and provide a professional service to consultants and patients. To monitor performance and address any concerns appropriately, escalating where necessary. - To ensure processes are in place that deliver high standards of customer service at all times. - To develop a multi-skilled flexible team who can cover multiple specialities and other duties when required. Manage team absences and arrange suitable annual leave cover. - To ensure the team are working efficiently and effectively with the aim to charging for 100% of their working time back to consultants. Monitoring workloads to ensure appropriate and fair distribution of work and tasks. - Respond to enquiries from Consultants in a timely, courteous and efficient manner either by face to face meetings, telephone or email. - To ensure GDPR (data protection) guidance is adhered to at all times by the team. - Carry out quality assessments regularly, act on feedback and develop action plans for ongoing continuous improvements. - Communicate effectively with the team about general hospital activity or operational issues to ensure they are well informed. - Constantly look for new ways of working and process improvements in order to move in time with other aspects of the business. - Lead the introduction of new services, systems and software within the secretary's remit. - To be ultimately responsible for the personnel management, including recruitment, training, sickness recording, annual leave, health and safety and performance management. - Regularly attend team leader huddles, management and hospital planning meetings. - To work closely with other managers and team leaders within the hospital.
