Your Role: As the Operations Coordinator, you'll be at the heart of our operations, working alongside seasoned professionals to tackle exciting challenges. Your responsibilities may include: The key responsibilities are: Planning and set up jobs and allocated work to customers and hauliers. Uploading or creating jobs within SAP/WR1. Communicating and/or escalating issues, price changes, and surcharges appropriately and promptly. Working with an open and proactive mindset, continually looking to achieve and improve on the operational goals of productivity, profitability, efficiency, proactivity and effective communication. Caretaking all aspects (e.g. bookings, documentation, communications etc) of all loads on allocated routes from collection to delivery. Utilising SAP/WR1 to record all jobs, and with attention to detail, ensuring all costs and charges are correctly and accurately recorded therein. Ensuring that all hauliers are authorised throughout the supply chain. Ensuring that all paperwork is accurately generated, sent and received and filed using a standardised format. Carrying out audits/checks to ensure this is the case, and highlighting issues when spotted. Resolving queries with producers, hauliers, and disposal sites. Confirming collection requirements from disposal sites. Booking/confirming delivery slots with disposal sites. Making decisions that maximise loads and profitability, including using preferred hauliers and referencing back to the required haulier mix. Proactively monitoring activities to anticipate issues as early as possible, and taking steps to resolve and/or communicate to the Head of Operations. Working with the accounts and sales teams to manage customer credit limits and helping ensure that customers stay within them. Ensuring that customers, hauliers and receiving sites are fully updated with bookings and any changes or incidents in the supply chain. Ensuring the current systems are utilised and fully maintained with attention to detail to ensure records are fully maintained. Managing the Operations Email Inbox daily and ensuring that emails are actioned and emails & attachments are correctly filed in a standardised way. Raising purchase orders, sales orders and sales invoices in line with company procedures and required timescales. Managing the customs process for all exports and imports on their allocated job portfolio. Updating Haulier Portals with Paperwork/UCR/MRNs etc. Carrying out any other administrative tasks that may be required by the operations department. Working with the sales teams to maximise tonnages and margins. Carrying out regular audits of processes and filing systems. Have regular update meetings with customers and suppliers to build on and cement relationships. Being aware of month ends, company processes & procedures around these events and ensuring that all costs are accurately confirmed or accurately estimated and included in the system prior to close. Assisting the Head of Operations to ensure operational coverage and efficiency is maintained at all times. Assisting the Head of Compliance & the Compliance team in ensuring and maintaining compliance with the necessary regulations and company requirements.
