Job Purpose:
The role of the Senior Logistics and Customer Services Administrator is to be responsible for order processing and managing our in-house system whilst liaising with both internal and external stakeholders to answer queries in a timely and effective way.
Responsibilities:
1. Customer order processing and management, answering questions, investigating queries, relaying stock issues, order amendments etc.
2. Supervise the team and action any pressing matters in the absence of the Logistics and Customer Services Manager.
3. Ensuring regular reporting of OTIF.
4. Checking accruals.
5. Carry out EDI Mapping.
6. Manual Reservations and derogations as well as reconciliations.
7. Completing month end reporting.
8. Use customer portals as required.
9. Monitor stock levels.
10. Processing and updating our in-house system with daily information from our 3rd party warehouses such as intakes, despatches etc and resolving any discrepancies between actual and paperwork.
11. Managing credit notes and returns from customers.
12. Checking proof of deliveries and uploading pods to our in-house system.
13. To provide back-up support for stock control and the customer services team.
14. General administrative support to the team and the Logistics and Customer Services Manager.
15. Check invoices for third party warehouses/transport and resolve any queries.
16. Be the first point of contact in the team for relevant accounts of the Customer Managers at Veetee.
17. Communicate with production departments to highlight shortages and request production dates.
18. Support inter-departments by compiling reports in response to requests across a range of supply related issues such as: Stock availability, service levels and stock availability.
19. Work with warehouse and accounts teams to resolve any issues on goods receipt.
20. Monitoring daily dispatch schedules, making updates as required.
21. Booking external transport using hauliers’ portals, raising transport PO’s, producing labels and supporting paperwork.
22. Ensuring sample orders and process and packed.
23. Completing part picking order updates.
24. Organising collections from customers checking and processing all relevant documentation associated with the return.
25. Carry out cash sales for employees.
26. Any other reasonable duties, responsibility or requests that may be issued by management from time to time
Skills, Knowledge and Experience:
27. Strong previous experience within a similar role in a fast paced environment.
28. GCSEs in English and Maths at Grade A-C (4-9) or equivalent.
29. Good understanding of supply chain processes.
30. Highly analytical, numerate and a good problem solver.
31. Able to work in a fast-paced environment with the ability to complete tasks in a timely and accurate manner.
32. Excellent organisational skills.
33. Great interpersonal and communication skills.
34. Good excel skills.
35. ERP/MRP systems experience is advantageous.
36. Positive, pro-active attitude.
37. Ability to work with a varied stakeholder group.
