Job title - Reception/Facilities Supervisor
The prime location will be Langley; however, the candidate will be required to travel to our Redhill and/or Basingstoke office from time to time (approx. once a week).
Contract length: monthly rolling contract
Pay rate: £20 per hour PAYE - Inside IR35
Hours: 37.5 per week (The shift patterns are expected to be between 08:00-17:30 Monday to Friday. Occasionally different working patterns or additional hours may need to be worked to cover operational requirements, sickness, or holiday leave).
Randstad Sourceright, a leading provider of RPO & MSP Recruitment Services, is currently recruiting for a Facilities Assistant / Receptionist to work for Balfour Beatty, an international infrastructure group that provides construction services, support services, and infrastructure investments. They are the largest construction and infrastructure provider in the UK.
The Role:
You will be required to provide Facilities Management support services in the office in Langley, Berkshire. It’s a small office in Langley with about 20 to 25 people in the office daily. You’ll be based at reception but oversee the actual office.
Your prime location will be Langley; however, you will be required to travel to other offices in Redhill and/or Basingstoke as and when required.
The role is to cover the main desk and to look after facilities in the office, replenishing stationary, teas, coffees, etc. As the Facilities Supervisor, you will be expected to ensure that a first-class service is provided to stakeholders based at and visiting the site. This is expected to be a busy and exciting role and would suit an enthusiastic and dynamic individual with previous experience of working in a similar role in a Corporate Environment.
This is a multi-functional hands-on role and the Facilities Supervisor will be expected to ensure that all soft facilities services are delivered in accordance with the department’s procedures and to an exceptional level at the site.
Key Skills and experience required:
* Previous experience as a receptionist / in a similar role.
* Good customer service experience or experience managing reception, possibly on a switchboard.
* Punctual.
* You will need to live within 1 hour’s travel to the office.
* Ability to work in the Langley office 5 days a week, with flexibility on timings.
Responsibilities:
* Responsibility for the provision of office/facilities services at Langley to agreed service levels including the line management of the in-house FM team.
* Ensure that all areas are always maintained to exceptional standards managing contractors and staff accordingly to minimize disruption during working hours.
* Ensure compliance with the relevant Balfour Beatty policies and procedures at all times.
* Manage all suppliers/contractors including reactive maintenance contractors and service contractors to ensure compliance with H&S regulations and agreed KPIs.
* Liaise with landlord/managing agent where appropriate.
* Ensure desk allocations are kept up to date for each office and carry out desk utilization surveys if requested by the UK Property Team.
* Ensure the offices remain legally compliant at all times and maintain statutory records.
* Ensure the Health & Safety file for the building is accurately maintained.
* Manage the FM budget for the site.
* Provide information/reports as required by the Senior FM, UK Property Team, and/or line manager.
* Provide additional FM support if required by the Senior FM or FM Manager.
* Act as emergency contact for the site and business continuity champion.
* Responsible for Front of house duties including visitor management, switchboard duties, assisting staff and visitors with meeting room bookings, issuing ID badges and vehicle permits, ensuring that incoming and outgoing mail is dealt with efficiently, and managing handovers.
* Ensure that department procedures are followed and updated as required.
* Ensure that the meeting room suites and kitchens across the site are well stocked and maintained in excellent condition.
* Act as the site point of contact for cleaning issues and proactively identify cleaning or other maintenance requirements.
* Provide admin support as necessary including ensuring that the Facility Management team inboxes and maintenance workflow and tickets are actioned.
* Work with the Facilities Manager and Senior Facilities Manager to ensure that the Southeast of England facilities services are aligned with the wider Balfour Beatty offices.
