Ash Surgery is looking for a bright, friendly, self-motivated, responsible, and reliable individual to join the reception team in this friendly and supportive practice.
We are currently seeking at least one part-time candidate to join our reception team. There will be opportunity for extra hours and personal development and progression within the surgery.
Main Duties of the Job
The following are the core responsibilities of the receptionist:
1. Process personal, telephone and e-requests for appointments
2. Answer incoming phone calls, transferring calls or dealing with the caller's request appropriately
3. Signpost patients to the correct service
4. Initiate contact with and respond to requests from patients, team members, and external agencies
5. Photocopy documentation as required
In addition to the primary responsibilities, the medical administrator may be requested to:
1. Provide support to the clinical team.
2. Scan patient-related documentation and attach scanned documents to patients' healthcare records
3. Complete opening and closing procedures.
4. As required, support the prescribing clerk in the management of repeat prescriptions, ensuring they are processed accurately and efficiently
About Us
Ash Surgery is a traditional GP Practice, set in the heart of rural East Kent, close to the city of Canterbury. We are a close-knit team with a Partners, 3 salaried GPs, a paramedic practitioner and a nursing team made up of two Practice nurses and two HCAs.
Our administration team works very closely with the clinical team to support each other and deliver the very best in patient care.
Job Responsibilities
The following are additional responsibilities of the receptionist. There may occasionally be a requirement to carry out other tasks; this will be dependent upon factors such as workload and staffing levels:
1. Maintain and monitor the practice appointment system
2. Process personal, telephone and e-requests for appointments
3. Answer incoming phone calls, transferring calls or dealing with the caller's request appropriately
4. Signpost patients to the correct service
5. Initiate contact with and respond to requests from patients, team members and external agencies
6. Read code data on EMIS web.
7. Photocopy documentation as required
8. Data entry of new and temporary registrations and relevant patient information as required
9. Input data into the patients' healthcare records as necessary
10. Direct requests for information (i.e., SAR, insurance/solicitors letters and DVLA forms) to the administrative team
11. Manage all queries as necessary in an efficient manner
12. Carry out system searches as requested
13. Maintain a clean, tidy, effective working area at all times
14. Monitor and maintain the reception area and notice boards
15. Support all clinical staff with general tasks as requested
In addition to the primary responsibilities, the medical administrator may be requested to:
1. Partake in audit as directed by the audit lead
2. Scan patient-related documentation and attach scanned documents to patients' healthcare records
3. Complete opening and closing procedures in accordance with the duty rota
4. As required, support the prescribing clerk in the management of repeat prescriptions, ensuring they are processed accurately and efficiently
5. Order and monitor stationery supplies
Person Specification
Qualifications
* GCSE grade A-C in English and Maths desirable.
Experience
* Experience of Primary care not essential as full training will be provided.
