About the Opportunity: As a Team Coordinator, you'll be at the heart of our operations, working closely with the Head of the Office of the CIO. Your role will be crucial in ensuring smooth operations and producing top-quality deliverables. You'll also collaborate with colleagues across the wider team, driving excellence and innovation. Reporting to the Business Engagement Partner, you'll be a key player in our mission to transform business support. If you're passionate about digital technology and ready to take on a thrilling challenge, we want to hear from you In this role you will: Act as Digital Technology's travel coordinator, responsible for booking business travel via internal Arup systems for our global team across all five regions, with support from other team members as needed. Support the team in administrative activities - this will include some project work as well as routine administrative tasks, for example supporting on workload spreadsheets, gathering finance information, submitting and reviewing invoices and expenses, reviewing timesheets. Assist with the management of team holiday, absence administration and assisting with the identification of welfare activities which arise from staff changes. Support new starters and their induction into Arup and the team, ensuring that their experience is smooth and enjoyable. Assist the staffing officer with recruitment as required, working with them to schedule interviews with candidates, adhering to data privacy rules (GDPR) at all times Understand the link between all Business Services disciplines and being able to draw on these relationships to deliver high quality outputs. Demonstrate knowledge in Arup procedures and in-house systems, assisting with and demonstrating best practice. Be aware of H&S best practice, identifying risks, breaches or specific needs. Taking on H&S roles (workstation assessor, fire marshal or first aider if required). Assist the team and team leaders with diary management. Proactively gathering relevant details, booking meeting rooms and proactively liaising with relevant teams to organise AV requirements and refreshments required. Attend and take minutes for meetings as requested, capturing actions and assisting with ensuring that actions are completed. Assist with the Oasys Commercial team as required, eg answering phones and fielding customer enquiries. Promote and share best practice within Business Services.Essential Skills and Qualifications: Ability to build strong and positive relationships in a complex, multi-disciplinary environment. Be self-aware, able to manage own resilience and be sensitive to others' agenda. This is an essential part of the role and is key to developing valued working relationships, continually being mindful of impacts on the team and colleagues. Continuous improvement is a key part of this role and we expect the team co-ordinator to embrace this, demonstrating a growth mind-set. The role requires a proactive approach to learning and of developing new approaches. Experience in a similar role, ideally in a professional services, multi-disciplinary environment would be ideal. Excellent communicator, both written and verbal. Experience of standard office administrative procedures. Sound knowledge of Microsoft packages, including solid PowerPoint skills and ideally SharePoint.
