This role is based in our London studio 5 days per week, 08:30 am - 5:00 pm. We would also be open to any applicants who would like to work on a part-time basis Monday - Thursday. —— You are responsible for: Our space Owning our space, ensuring it is always presented to our agreed standards Responding to requests about the space and systems Managing desk booking and meeting room systems, including managing conflicts and last-minute requests Room set up for client and external visitor meetings, including catering requirements Acting as the main liaison with building services to report issues and drive a resolution Ordering stationery and maintaining stock levels Pro-actively assisting with the set up for exhibitions and other special events Organising the space and catering for events i.e. company meetings, recruitment events, external speakers Help booking outside space for external and internal events Where appropriate, collecting external visitors from the building reception Our Culture Organising company breakfasts and lunches. Including set up / clear down and owning the budget Organising daily snacks/ activities with wellbeing and inclusivity in mind Acting as company fire warden, first aider and mental health first aider Setting up new starters desks and hosting building tour to ensure they feel welcomed into their new home Carrying out experience & health and safety induction Assisting in ensuring all calls on the mainline are taken Organising wellbeing initiatives such as Yoga and Circuits. Working with HR to organise other wellbeing events. Working with heads of communities to look for venues for away days Leading organisation of company socials i.e. Christmas & Summer Party and celebrating i.e pitch wins, promotions Supporting management team in procuring gifts i.e. end of year, babies, weddings Looking for and suggesting ways to embed our culture into Wolff Olins life Attending and playing an active role in our community by attending company events and training and encouraging others to do the same. Administration Weekly submission of freelancer timesheets Raising PO’s for all freelance contracts and ad hoc requests i.e. subscriptions, flowers, coffee Setting up new freelancers on the finance system and other ad hoc new supplier requests Completing oversee visitor log Supporting management team with external visitors Being Health & Safety representative, attending Health & Safety Committee meetings and working with the Compliance and Experience Administrator to ensure we are H&S compliant ( including completing risk assessments) Building a strong relationship with the accounts payable team Supporting HR team in carrying out right to work checks in their absence and making interviewees feel welcome Assisting with ad-hoc administrative tasks to support the Commercial community ( Finance, HR, Resourcing) Allocation of company lockers Manage company online and physical subscriptions AV, technical support when needed —— Our focus on people and the world: Wolff Olins believes in creating an environment where people can bring their whole selves to work.
