At Chivas Brothers, our 1,600-strong team across 27 sites is committed to upholding the heritage of Scotch and ensuring its sustainable future, as well as opening it up to new audiences across the globe. The scope of Operations stretches from Procurement through conversion (distillation and maturation) and manufacturing (or bottling) to all the downstream Supply Chain activities until the final product is delivered. In addition, Operations play a very active role in Innovation, Talent Development and Operational Risk Management. The Bulk Operations team sit within Production and are responsible for Filling, Dumping, Vatting and Warehousing of our products. The team are based across our sites in the Central Belt and in Speyside and are driving a high level of Health, Safety, Environment, Quality and Operational Excellence standards. Your unique contribution The Bulk Operations Business Support will provide a comprehensive administrative support service for the Bulk Operations North Management Team, acting independently to achieve results in certain areas of personal responsibility. You will have four main areas of responsibility: Administration Support – to provide administration support so that Bulk Operations North continue to operate optimally to the regulatory standards required by the business with respect to including HSE, HMRC and COMAH. You will create and compile department reporting and file designated service / statutory reports e.g. HMRC, Ecolab reports, SEPA analyses, notifying site management & maintenance of the local actions tracking system. Finance and Payroll Support – to onboard and maintain contractors / suppliers through our procurement system, as well as raising and maintaining POs through the system, ensuring adherence to required finance routines. You will also maintain local overtime reporting systems and monthly submissions to payroll and raise payroll queries as and when required. Team Support – to provide support to local management team, taking minutes, updating actions and circulating correspondence as required, as well as organising Bulk Operations and specified cross functional Northern Operations training and maintaining appropriate records. You will also organise travel and accommodation for local teams when required, and process workwear orders. Quality, Health & Safety Support – to liaise with Quality & SHE teams on a routine basis to ensure actions on our Quality and SHE systems are added to the local tracking document and that they are updated for issues closed. You will also liaise with Distillery Operations Management to update the local actions tracking system on a routine basis as well as issuing systems documents at designated timeframes. Who you’ll be working with Internally, you’ll collaborate closely with Bulk Operations Management as well as the wider Bulk Operations team. You will also collaborate with colleagues across Distillery Operations, Quality, Health & Safety, Payroll and HR. Externally, you will collaborate with contractors, consultants, and suppliers, to ensure delivery of services to the highest standard. Your blend of talent This position could be right for you if you: Have previous administrative task experience with an eye for detail. Are an expert in the use of a variety of IT software packages including Word, Excel, PowerPoint, Microsoft Project and Outlook. Have experience in liaising with internal and external bodies & visitors. Have good communication skills.
