Senior PA to VP-Program Management, K&B and Sr Director-Finance, Innovation & K&B
Base salary of £30-35K subject to skills and experience, plus bonus and other benefits.
Full-time permanent contract, with at least 3 days per week onsite at our Cheltenham HQ.
Opportunity:
We are looking for a Personal Assistant who will play a pivotal role in providing organisational support to the VP-Program Management, K&B and Sr Director-Finance, Innovation & K&B ensuring smooth communication, coordination, and execution of various tasks. This role is perfect for a proactive and detail-oriented professional who can handle confidential information and manage multiple priorities.
Responsibilities:
* Manage the diary of the VP-Program Management, K&B and Sr Director Finance, Innovation & K&B, organising meetings, appointments, travel arrangements and events as required.
* Work with our Internal Communications team to coordinate team briefs and communication roll-outs, including the preparation of slides and/or videos.
* Arrange travel itineraries, accommodation, transportation, and necessary documentation for business trips on behalf of the team.
* Perform various administrative duties, such as filing documents, preparing reports, raising purchase orders and managing office supplies.
* Manage business expense submissions on behalf of the VP-Program Management, K&B and Sr Director-Finance, Innovation & K&B.
* Respond to requests for information from our global teams.
* Coordinate monthly report submissions.
* Maintain discretion and confidentiality regarding sensitive information.
Skills/Requirements:
* At least 3 years’ experience in a PA role.
* Excellent organisation skills, with the ability to multitask and meet deadlines in a fast-paced environment.
* Team player – adept at dealing with a diverse mix of stakeholders.
* Able to prioritise workload and adapt quickly to changes in priorities.
* Discreetly handle confidential and sensitive matters.
* Able to work on own initiative with limited supervision.
* Excellent communication skills.
* Experience in a similar administratively complex role is essential.
* Excellent PC skills including all Microsoft Office, Outlook (diary and meeting management), video and telephone conferencing.
* Highly customer focused (internal and external).
* Flexible approach to working hours, including out-of-hours support where required and occasional travel.
