The Role:
Reporting to the Executive Assistant, the Receptionist is the first point of contact for visitors to the office, they are responsible for answering telephone calls, greeting clients and customers and sending and receiving correspondence. Providing administrative support in the form of clerical duties, and taking full responsibility for general administrative duties in the office.

Responsibilities:
The duties of the Receptionist include, but are not limited to:
• Answering the external intercom and opening the door to visitors;
• Greeting guests and visitors and preparing refreshments;
• Responsible for the reception area, tidying meeting rooms, watering plants, organising magazines etc.;
• Answering and directing phone calls, taking messages, covering the reception desk;
• Managing the meeting room calendars, setting up meeting rooms for meetings, ordering catering and tidying rooms after use;
• Purchasing stationery, and cleaning materials and keeping the first aid boxes replenished as and when required along with keeping the kitchen stocked up with refreshments, fruit and biscuits;
• Maintaining company credit card expenses and inputting personal expenses;
• Recording expenditures and updating the office inventory;
• Scheduling and coordinating meetings, interviews, events and other similar activities, booking travel arrangements;
• Sending out and receiving incoming mail and packages;
• Preparing business correspondence and presentations;
• Operating a range of office IT such as photocopiers, computers and, VC equipment;
• Maintaining professional and technical knowledge by attending educational workshops;
• Handling sensitive information in a confidential manner;
• Assisting the Executive Assistant with other duties where required
Personal Specifications:
The successful candidate will possess the following:
• GCSE Math’s & English (or equivalent);
• Recognition of the importance of relationships and the ability to build these across the organisation;
• Be presentable, polite and professional;
• Have a full working knowledge of all Microsoft packages including Excel, Word, PowerPoint and Outlook;
• Be confident and resilient;
• Work to own initiative and also work well in a team;
• Be approachable and have a friendly demeanor;
• Be organised and able to prioritise own workload;
• Excellent communication skills
