My public sector client is looking for a Personal Assistant, to play an integral part in assisting the whole of the directorate, its Director and Assistant Directors to manage their time and work effectively, so that they can focus on their priorities. This is a potential 6 month temporary assignment Monday to Friday paying £12.74 p/hr, full time 37.00 hours a week, 9.00am to 5.00pm and this role will be a hybrid role looking at two days on site and three working from home currently. Multiple onsite locations can be considered: Nottingham, Ipswich, Stratford London, Newcastle upon Tyne, Manchester, Edinburgh, Croydon, Exeter, Cardiff, Birmingham and Leeds.
It is an exciting role that allows you to be involved with making decisions on how the Director's time is spent, consider competing priorities, and understand who to involve as an escalation point. You will be expected to evaluate information and take the initiative when acting as the first point of contact to ensure timely and appropriate responses to requests.
You will need to be resilient, flexible and effective in using your excellent organisational skills to work in a sometimes-pressurised environment with tight deadlines, responding to requests at short notice. You will have an ability to use your initiative and judgement and react quickly and professionally to changing priorities.
As a Personal Assistant you will carry out the following tasks:
* Diary management - actively the Senior Management Team's appointments, sending meeting invites, chasing responses and accepting/declining invites as appropriate. Working closely with SMT to assure their diaries are aligned with key priorities
* Producing briefing notes and drafting presentations SMT to use when attending a range of senior leader meetings
* Providing ad-hoc administrative support as required e.g. co-ordination of meetings, taking minutes, production of correspondence and distribution etc
* Travel - arranging and booking travel/accommodation for SMT and their team as required
* Making all appropriate arrangements for attendance at offices, including desk booking and room bookings for meetings
* Forming an effective working relationship with the administrative teams and EAs of other senior staff - ensuring appropriate channels of communications with the Director
* Working alongside the Business Support Team, in particular working closely with the Director's Executive Assistant and supporting wider functions within the team
* Acting as Intranet editor for LSD updating new opportunities within LSD and assisting with production of quarterly newsletters. Completing regular audit checks and supporting recruitment campaigns with onboarding, IT distribution and co-ordination of inductions
* Analysing and updating Management Information, liaising and supporting the wider team for missing data

* You should also be willing to complete regular travel between our London, Birmingham and Manchester offices to support the Senior Management Team where required
Previous experience as a Personal Assistant is required, or alternately within a Senior Administrator/Business Support role, provided your previous experience demonstrates the responsibilities required for this role.
Please note this role will require a DBS check, and three years referencing.
