Job overview
We have an exciting opportunity for an experienced Personal Assistant to work in a pivotal role within the Executive Director Secretariat. The successful candidate will work as part of a small team and will have highly developed organisation skills, excelling in a fast-paced environment with shifting priorities. They will have experience in working in a politically sensitive area, a good standard of formal minutes, and the ability to use their tact and discretion in managing meeting requests, emails, and correspondence.
As an experienced Executive Assistant, you will provide support to our Executive Directors in a fast-paced environment, dealing with highly complex and confidential material, using excellent organisational and prioritisation skills, tact, and versatility to maintain an excellent service. The post holder will need to be highly organised and efficient, able to multi-task and use their initiative to manage and prioritise a wide range of tasks and responsibilities.
Main duties of the job
To provide an expert executive assistant service, providing vital reputational and representational visibility at all levels to people both internally and externally. Your responsibilities will include:
* Managing a complex and busy diary for Executive Directors, including arranging and taking formal minutes of meetings.
* Managing the Executive's inbox, using tact, discretion, and diplomacy to ensure that correspondence is handled appropriately.
* Ensuring that crucial stakeholders are kept appraised of the latest developments to support decision-making and planning.
* Collating and distributing complex information/statistics, using sound judgement and good drafting skills.
* Providing extensive Executive Assistant service to the Executive Directors, including supporting Executives in preparation for conferences, meetings, and other events.
* Coordinating arrangements for meetings and events as well as preparing correspondence, reports, and presentations.
* Collaborating with a range of internal and external stakeholders to communicate effectively on sensitive issues.
* Supporting with drafting materials such as articles for communications and engagement.

Person specification
Qualifications
* NVQ Level 3 Business Administration or equivalent experience.
Experience
* Executive PA experience for an Executive Director
* Experience of diary management
* Experience of minuting high-level meetings and preparing for meetings.
Knowledge
* Knowledge of GDPR and the need for confidentiality
* Knowledge and understanding of Microsoft Office Packages.
Skills and Abilities
* Excellent ability in multitasking
* Working well under pressure
* Good communication at all levels through various communication methods.
* Ability to use tact and diplomacy when dealing with highly sensitive issues
* Ability to work under pressure while demonstrating sound organisational skills.
