Closing Date for this vacancy is 27 March 2025 Purpose of Role This role is integral to Roundabout services in Sheffield and Rotherham, ensuring that we are able to provide high quality support and accommodation for young people. You will be working alongside an experienced Housing Administrator to provide housing administrative support to the Rotherham and Sheffield services. You will not be in contact with any of the young people directly, you will be responsible for managing the administration for Housing Benefit claims, incoming rent, property admin and assisting with monthly rent reporting for Rotherham and Sheffield services, along with any day-to-day assistance for the Rotherham Team and to the organisation as required. The role will be split between Roundabout's offices in Rotherham and Sheffield city centre. Housing benefit • Create and oversee Housing Benefit claim applications for service users in Rotherham. Create new claims, submit change of circumstances for existing claims and submit leavers notifications for clients who end service. Calculate service charge contributions for service users when in employment. • Process incoming Housing Benefit payments onto the in-house content management system. Investigate all ongoing claim suspensions. Liaise with the Rotherham Borough Council Housing Benefit Assessment Team regarding individual cases and any overlapping benefits applications for service leavers when required. • Assist with the set-up of Housing Benefit rent proformas – both for new properties when they are taken on during the year and all existing properties at the start of each financial year. Inform/Salesforce – The in-house content management system •Create new, and amend existing residential bed spaces on the in-house content management system for Rotherham and Sheffield services. •Generate regular rent balance statements and liaise with service managers and project workers to ensure any outstanding balances do not get too high. •Help create end of month rent reports on the in-house content management system. Housing Administration • Maintain property checklists, overseeing the administration required for any new properties taken on or existing properties handed back – update the in-house content management system, inform council tax, submit any new rent proformas. • Create and maintain accurate licence agreements for all properties. • Manage Council Tax records - liaising with Rotherham Borough Council and Sheffield City Council regarding changes in circumstance for residents and/or properties. Office Duties Oversee petty cash procedures for Rotherham services and handle rent payments from service users. Act as the point of contact for enquiries into the service, and monitor the door entry system at Rotherham offices To assist with administrative tasks for different services across Roundabout as and when required. Assistance with minute taking at meetings if and when required Adhere to Roundabout’s policies and procedures at all times. Demonstrate a commitment to equality and inclusion at all times. Participate in training and undertake appropriate learning and development, as identified through appraisal and regular reviews with line manager Person Specification Previous experience of working in a busy office-based environment would be desirable. Experience of working with Housing Benefit claims is desirable, as is an understanding of the importance of ensuring all claims are closely monitored and accurate. Previous experience of accurately recording data and maintaining databases. Previous use of Salesforce or similar CMS is desirable. A good knowledge of Microsoft Office packages such as Word and Excel. Proficiency with other applications such as Outlook and PowerPoint.
