Role Synopsis The Supply Contracts Coordinator manages, maintains and analyses the operational requirements associated with the UK Supply and B2B contract portfolio to accurately reflect the agreed deals by the Supply Coordinators. The team are accountable for the integrated value delivery along the supply chain, ensuring that the agile midstream teams work together to ultimately source all the BP UK inland hydrocarbon requirements to meet the demands of the UK retail, aviation and B2B businesses. Key relationships Day to Day relationship management with third parties across various interfaces (eg, Esso/Shell/Total/Ineos/PI). Support Supply Coordinators with contract analysis and recommendations on structuring contracts to suit the bp system. Create enduring relationships with Terminal & Global business service staff Supporting Finance with business insight Establish strong relationship with Bio Finance Team to ensure accurate maintenance of bio conditions. Key Accountabilities Day to day maintenance of pricing elements in SAP of all supply contracts including term and spot deals, which includes purchases and sales comprising the large complex contracts. Strong understanding to ensure pricing accuracy across the multi elements formulas which drive the model and impacts the bio conditions. Ensure contract accuracy in SAP with the use of credible backing systems with complex coding and formulae codes including duty and bio conditions per product grade. Coordinate and update master data as per the business requirement, including plant and material combinations, Trades Schedules Workbench (TSW) updates for all non-road mode of transport e.g. pipe. Coordinate the creation of new customers/vendors, update the sold- to, ship-to, payers, bill of material (BoM)s, vendor bank account maintenance via Fiori to keep up with business requirement. Coordinating and updating the benchmarks via Phineas (benchmark automation tool), which enable the users to generate the SAP friendly format for periodic updates. Cover for Government (BEIS) reporting by ensuring all CSO trades are monitored in Blotter along with DORS reporting and CSO Netting (Govt requirement). Regular communication with the third-party contract holders, supply coordinators, bio finance team, stocks team, invoice matching team in GBS to ensure smooth running of contracts, including any follow up of contract issue resolution. Support Supply Coordinators during negotiations on ways in which the bp system can support new contract types or clauses. Independently create new and update existing supply contracts in the bp system. Approval of purchase invoices for supply and B2B contracts and creation of sales invoices where necessary. Manage and reconcile any price adjustments between bp and 3rd parties to meet with agreed contract terms and clauses. Support the GBS with accurate invoice matching and follow up any queries with relevant third-party suppliers. Ensure the business is compliant with the purchase to pay process (P2P) and support the business with these related activities - including raising purchase orders, verifying, and receipting invoices for payment and following up invoices. Ensuring that the contract to transport ethanol across the UK is managed effectively ensuring invoicing & pricing is accurate and monthly accruals are raised. Drive continuous improvement in product sourcing, through recommending and implementing simplification and process improvements. Provide cover for the supply contracts elements of the Bio and Low Carbon Supply coordinator role (entering biofuels purchases/sales) Collate and report of monthly provisions and accruals to the Finance team.
