We’re on the lookout for a Project Director to join our Projects Team This role can be a fixed term role for 12 months or a permanent role depending on the candidate. We want to make your time with us extraordinary and everlasting too Core Purpose The Project Director is a pivotal role within our agency offering, leading on the delivery of major projects across creative conferencing and B2B experience. Reporting into the Group Project Director, the Project Director also works side by side with our Client Director and Account Director(s) on the Agency side of the business, providing support on pitches and proposals, as well as monitoring team project progress and QC This role also has an element of responsibility for the day to day operation of the Projects team and providing guidance and support to the team both during pre-production and delivery. Who are you? You’re an accomplished Project Director/Exec Producer with significant experience either within a similar role within agencies, or in an extended freelance capacity, with live events as your primary focus, and a passion for creating end to end B2B experiences. You are comfortable leading and mentoring a team, both as a line manager and keeping an eye on resourcing and team scheduling You are adept at keeping track of multiple projects at any one time, keeping a top level overview of both incoming and live projects and with an innate sixth sense for spotting any potential issues before they arise You are equally happy providing support and guidance to the Producers in your team, as you are jumping on the tools when required. You are comfortable with being the main project driver and client contact on major projects with budgets between £1m - £5m. You’re a collaborative worker, you naturally gravitate to other discipline specialists, acting as the linchpin pulling all elements of a successful event together efficiently and effectively. You have extensive creative production, live show and event management knowledge across both B2B and experiential events. You lead with a natural client first mentality, with a strong understanding of how to drive success based on their KPIs. You have experience with and an interest in working abroad, and are equally organised and efficient whilst on the road as you are when you are in the office. You’re a passionate project manager and a strong communicator, both in person and in written content, with excellent attention to detail. You don’t get phased under pressure, you’re the consummate professional. Even when something isn’t going quite accordingly to plan, you remain calm and get the situation sorted. You’re not afraid to push boundaries but also understand there will always needs to be a natural balance between creative and delivery You’re comfortable managing a variety senior level of stakeholders. You are experienced in speaking with them and analysing a brief to ensure that what we produce for them meets, or better still exceeds, their requirements. You’re happy to share ideas for new initiatives and ways of working and equally happy to hear other people’s ideas. You’re commercially astute. You push boundaries, whilst keeping the project budget in mind and can weigh up the best solutions to maximise impact for our clients. You have a strong black book of suppliers, freelancers and fixers and are confident in managing relationships with them including project briefing, negotiating budgets, and driving timelines. Responsibilities Delivery Exploring, interpreting and understanding client briefs, working alongside the Client Director/Account Director/Strategist on proposals and RFQ's from pitch and scoping stage Actively taking part in live pitches alongside Client Director/Account Director, inputting on every element of the pitch from driving the timeline, inputting on strategies and experience, lining up team structure and R&Rs and advising on budgets Running the project from start to finish, you’ll develop and drive the event from the initial concept through to the final reconciliation, making sure KPIs are met and that deliverables stays true to the overarching strategy Building and leading solid project teams comprising of Producers, Production Managers, Creatives, Technical Directors and Project Co-ordinators as required depending on project needs, as well as external collaborators Providing clients with best practice and cutting edge solutions for their projects, be that live, digital or hybrid Leading on major projects between £1m-£5m, responsible for the end to end experience including (but not limited to) programming, guest experience, space design, creative concept, and logistics Equally able to take a specialist segment role on other major projects as needed Ownership/approver of all project disciplines including production, creative/experiential, live show elements, event management etc Establishing clear communication and review channels, ensuring that the brief, scope and budget are fully understood by everyone involved Project budget management and ownership, ensuring we are delivering to clients' budgets with proven commercial nous, as well as hitting required profit markers on project return Scheduling, progress tracking and post event reporting Bridging the gap between experiential and B2B in your approach, equally at home working in either sector and skilled at bringing the best elements from both into the other, in line with our agency mission Team management/process Leading the day to day operation of the London based Projects team, assigning and tracking resource as required including the management of freelance staff Working alongside the Group Project Director Line management and/or mentorship of senior and mid weight members of the Projects team (Senior Producer/Producers), supporting and training the team to be the best that they can be in their role and give them the tools they need to move upwards and onwards in their careers Actively contributing to the team and the Agency, providing input on process, workflow and structure and always looking to improve efficiencies High level overview of your team's work including decks, drawings, plans, proposals and supporting the Group Project Director to ensure accuracy and value add. Ensure all internal processes such as time-sheets and expenses are followed and actioned in a timely fashion Acting as an escalation point on projects as required Collaborating with HR on recruitment, performance cycles and following company HR process. Working with the Operations Director to ensure health and safety processes are complied with. You’ll be a champion for RAMS and HSE and ensure none of it gets dropped when we are busy. Line Management responsibility of direct reports Regular 1-2-1s and open dialogue, ensuring your reports feel supported and have a clear understanding of their roles, responsibilities and measures of success Following internal people process such as probation reviews and annual appraisals, ensuring timely responses and ensuring engagement in internal surveys. A working knowledge of our People processes, ensuring that your direct reports know where to locate them in Trainual and that they understand to come to you with questions Being an active and engaged member of the Line Manager community including attending Line Manger meetings and forums and keeping a close eye on the Line Manager teams channels to ensure you are informed of the latest updates from the people team and cascading messages to your reports. Engaging in recruitment for hiring within your team, acting as the Hiring Manger where appropriate and following our standard people processes. Leading in onboarding new team members and collaborating with the People Team to ensure learning plans, required training and support structures are in place. Taking an active interest in your teams’ health and wellbeing, monitoring workload and reaching out to the People team for support where needed.
