Overall purpose:
As Office Administrator at Paragon Design, you'll be the vital cornerstone supporting our delivery of exceptional bespoke joinery to the UK's most prestigious clients. Operating at the heart of our £multi-million project delivery process, you'll orchestrate seamless administrative excellence that enables our craftspeople to create tomorrow's finest environments. Your expertise in managing complex workflows and building relationships with high-profile stakeholders will be crucial to maintaining Paragon's reputation for excellence. This dynamic role offers significant growth potential while working on some of the UK's most exciting luxury design and construction projects.
Top goals for year one:
1. Streamline and enhance the administrative function to align with evolving demands
2. Identify and implement cost-saving measures to reduce office overheads while maintaining operational efficiency.
Duties and Responsibilities:
Office Management
1. Provide a professional first point of contact for clients, visitors and the generic email inbox
2. Manage office resources and maintain exceptional workplace standards
3. Manage the admin request inbox for company-wide queries
4. Support office operations, ensure all facilities and equipment are operational and liaise with external support as required when they are not
5. Minute-taking in meetings and tracking assigned action completions
Project Support
1. Provide administration support for pre-qualification questionnaires (PQQs) and portal management
2. Coordinate sample preparation and dispatch for the Sales team
3. Process client documentation and project-related requests
4. Support the estimating team with quote formatting and CRM management
5. Prepare documentation for client meetings
6. Contract renewals, machine servicing schedules, and company-wide supply orders
7. Manage weekly timesheet administration and project time allocation
8. Assist with basic bookkeeping tasks
Marketing Support
1. Maintain website content, including case studies and imagery
2. Coordinate professional photography sessions
3. Assist in creating marketing materials that reflect our premium positioning
4. Manage client approvals for marketing content
Key Performance Indicators:
1. Zero delays in internal operations due to resource availability
2. Assigned tasks and emails responded to on time and in full
3. Identify and implement at least two cost-saving initiatives within the first year
Qualifications:
1. Minimum 5 GCSEs at grade C/4 or above, including English and Mathematics
Experience:
1. Previous experience in a varied administrative or office management role
2. Track record of supporting multiple departments with a broad range of administration
3. Experience with Microsoft Office Suite
4. Ideally some experience with accounting software and/or CRMs
Skills:
1. Strong organisational skills and ability to meet multiple deadlines in a fast-paced environment
2. Strong written and verbal communication skills with clients, suppliers and colleagues
3. Team player with good interpersonal skills; can work independently and as part of a team.
4. Comfortable with digital tools and Website Content Management Systems
5. Strong attention to detail and a high level of accuracy.
