An opportunity for a Senior Administrator has arisen with the local authorities on a 3-month contract.
Pay Rate: £18.72 Per Hour (PAYE)
Location: BS1 6AL, Hybrid working pattern, minimum 2 days per week in the office.
Working Hours: 37 hours per week, Monday to Friday, 09:00 AM - 5:30 PM
Typical involvement will include:
1. Coordinate large-scale meetings and VIP visits, including venue management, guest lists, liaising closely with communications colleagues to ensure appropriate media coverage.
2. Be the first point of contact for citizens, visitors, and regional partners, especially those who work closely with directorate teams (both in the office and by email/phone).
3. Provide full administrative support to the UK Mayors Networks as required.
4. Manage inbox for the network, dealing with routine enquiries independently and escalating as appropriate.
5. Manage the diary, liaising with offices of senior network leaders, politicians, and government officials.
6. Manage correspondence, and liaise with officers to ensure responses are sent within required timeframes, keeping a record of enquiries where appropriate.
7. Produce agendas and minutes for network meetings.
8. Make travel arrangements.
9. Book meetings and make appropriate arrangements (room layout, refreshments).
10. Ensure that all communications are appropriately dealt with, where appropriate replying on behalf of the network. Exercise judgement, initiative, and discretion in sorting urgent and non-urgent communications/correspondence, telephone calls, and when dealing with items of a confidential nature.
11. Ensure that documents and correspondence meet the high professional presentation standards required and systems are in place to facilitate document retrieval and record progress in relevant matters.
Qualifications and Experience:
1. NVQ Level II Business Administration OR Customer Service OR three years' relevant administration experience.
2. Previous administrative experience is advantageous.
3. Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
4. Strong organizational and time management skills.
5. Excellent communication skills, both written and verbal.
6. Attention to detail and ability to multitask.
7. Ability to work independently and as part of a team.
8. Relevant administrative or office-related qualifications are a plus.
