Headington Rye Oxford is seeking to appoint an enthusiastic and highly motivated Admissions Registrar to join the busy Admissions and Marketing team to lead on all Prep School Admissions.
This is an exciting time to join the team after Headington Rye Oxford’s Prep School moved onto a larger 12-acre Rye site in September 2024. This is a pivotal and strategically important role as the size of the Prep School grows, with applications now accepted from both boys and girls for Nursery through to Year 6.
Admissions and Marketing Department
The Prep School Marketing and Admissions Team is located on the Prep School site but the post holder will also spend one day a week in the Marketing and Admissions office in Boundary Cottage on the Senior School site, a five-minute walk from the new Prep School site.
The School’s Admissions team manage local, national and international enquiries for places across all entry points to the School, from initial contact to enrolment.
The Admissions team sits alongside the Marketing team which generates interest in the School through advertising, press, publications and social media and manages the website.
The Marketing and Admissions teams work closely together to present a strong and welcoming image of the School to feeder schools and prospective families alike, running open events and entrance days and attending Future Schools Fairs both at home and abroad.
Role Description
The Prep Registrar role is a full-time, permanent, all-year round position.
The purpose of this role is to manage admissions applications to Headington Rye Oxford Prep School, providing a high level of customer service throughout the admissions cycle.
Key Responsibilities
* work on a day-to-day basis in conjunction with the Head of Prep on all matters relating to Prep School admissions
* support the Director of Marketing and Admissions on the Prep School admissions process
* be responsible for maintaining the Prep admissions number forecast, regularly reporting and forecasting numbers
* manage school admissions from initial enquiry to first day at school
* be responsible for ensuring Prep School admissions are compliant with the School’s visa requirements (the Prep School does not sponsor Child Student Visas/offer CAS), working closely with the Senior School Registrar to keep records up to date
* build rapport with prospective families
* ensure each prospective family receives a timely and appropriate response that leaves them with a positive impression of the school
* support the management and smooth running of the admissions database (Metis) and take responsibility for candidate admissions records
* organise and take responsibility for the smooth running of prospective family visits
* organise assessments for prospective pupils
* organise admissions events such as Open Days, Meet the Head events, EYFS Coffee Mornings and New Pupil Days
* undertake appropriate follow-up after events to nurture new connections, build on existing relationships and encourage prospective families to register and accept place offers
* act as an ambassador for the school, representing the School at internal and external events as appropriate
* develop strong working relations with teaching staff to ensure smooth delivery of Prep School events
* organise all elements of the enrolment process for families in a timely manner, including uploading information to online enrolment forms and iSAMS, with support from the Senior School Registrar as required

Qualifications and Experience
* experience of showing initiative, resourcefulness and the ability to thrive in a busy environment
* experience of working in a busy office environment with the ability to multitask
* experience showing a grounding in administrative skills and customer service
* degree and/or equivalent professional qualification
* experience of a similar role at another school would be an advantage
* an understanding of the highly-competitive independent school market

* highly IT literate, knowledge of Google would be an advantage

* strong people skills, a friendly, approachable and outgoing personality
* strong written and verbal communications skills

Permanent, full time, all year round
Pension
Contributory membership of the School’s Support Staff Pension Scheme with a School contribution of up to 9.95 per cent upon successful completion of six months’ service.
Fee remission
In accordance with the School’s policy, which may be subject to change, up to 50 per cent fee remission for pupils attending Headington Rye Oxford and up to 20 per cent fee remission for boys attending Magdalen College School (under a reciprocal agreement) and subject to the terms of their policy. Fee remission is calculated on the number of weeks and hours worked and is pro rata for part-time staff who work at least 50 per cent of a normal working week.
£35.6k per annum, depending on skills and experience.
