Job Description
To provide assistance to the Roads Maintenance Manager with the coordination of all complaints, queries, and Freedom of Information requests received by all personnel within Roads Maintenance.
Requirements
1. Manage complaints & FOI requests that are received within the Roads Maintenance area, including upkeep of file management of complaints & FOI, assisting with responses being issued, and ensuring MP/member complaints are appropriately responded to.
2. Manage requests from members of the public regarding road maintenance enquiries, keep a record of the requests, pass them to Roads Maintenance team members for relevant information to enable a response to be prepared, and keep a record of responses for future reference.
3. Provide technical and admin support to Supervisors, Technical Staff, and management as required, including sickness absence support, performance management support, and trade union operational meetings.
4. Liaise with the Council’s communications office and support the Roads Maintenance Manager/service Management Team with PR/Communications across the service.
5. Support the coordination and implementation of consultation exercises including recording, analyzing, and presenting data collected.
6. Organize and maintain systems and procedures.
The Individual
1. Significant clerical and administrative experience.
2. Proficiency with Microsoft Office software packages (e.g. Word, Excel).
3. Experience of working in a busy office environment using relevant technology and equipment (e.g. photocopier, email, Intra/Internet).
4. Knowledge of Freedom of Information (Scotland) Act 2002, Data Protection legislation including the General Data Protection Regulation (GDPR) and Data Protection Act 2018.
5. 2 Higher grades or equivalent at level 3 or above preferably including English.
6. ECDL.
7. Ability to provide complex responses both in written and verbal updates.
8. Assess and prioritize communication/enquiries received with the ability to independently solve through undertaking research and interpreting information received from others.
9. Ability to prioritize self and others with an understanding of potential problems.
10. Ability to work on own initiative and take sensible informed decisions.
