To ensure the smooth and efficient running of the surgery; assisting the General Practitioners and Practice Manager in providing a service to patients. To receive, assist and direct patients in accessing the appropriate service or healthcare professional in a courteous, efficient manner. To act as the focal point of communication between patients, doctors, and other practice staff. Offer general assistance to the practice team and project a positive and friendly image to patients and other visitors, either in person or via the telephone.
Undertake a variety of administrative duties to assist in the smooth running of the practice, including the provision of clerical support to clinical staff and other members of the practice team.
Principal Duties and Responsibilities:
1. Open premises, checking heating and clinical and administration rooms and restore daytime telephone and computer services.
2. Process new and follow-up appointment requests from patients by telephone and in person.
3. Receive patients and direct them to appropriate services.
4. Record requests for home visits.
5. Registration of new patients and temporary residents, following practice policy.
6. Process patients' change of address.
7. Process repeat prescription requests in accordance with practice guidelines.
8. Deal with and receive pathological specimens from patients with due regard for safe and correct handling and processing of them.
9. Have a full understanding of the appointment system.
10. Act as a central source of information.
11. Have a clear understanding of telephone systems, daytime and out of hours.
12. Understand security systems, alarms, and fire procedures.
13. Computer data entry and clinical coding processing and recording information in accordance with practice procedures.
14. Processing of incoming & outgoing mail, including medical records, hospital reports, and other letters as appropriate.
15. Taking messages and passing on information to relevant departments.
16. Provide cover for members of the reception team during periods of sickness and annual leave.
17. Processing reports from other organisations including other health service bodies, solicitors, benefits agency, and other third parties.
18. Providing clerical/administrative assistance to the practice.
19. Air and tidy waiting room and consulting rooms after each session (including checking patient toilets).
20. Unlocking and locking of the surgery and general security, including setting the burglar alarm.
21. Maintain a safe and tidy reception area and provide or organise hands-on emergency maintenance and cleaning as required, including the clearing up of bodily fluids, with appropriate personal protective equipment (PPE) provided.
22. Leave information regarding unsolved or urgent problems with GPs or other staff members.
23. Leave reception area tidy and ready for incoming colleagues.
24. Provide chaperone services as required.
