We are looking for an Administration Coordinator to join our busy Minor Injury Unit in Yate. This is a great opportunity for someone who enjoys being busy, being at the heart of the service and prides themselves on attention to detail.
The post holder will be responsible for managing the day-to-day administrative support to the Unit and assigned Senior Managers, ensuring that all administrative work is completed as required with accuracy and within set timeframes. This role will also be responsible for ensuring effective line management, training and development of the Reception Team.
The post holder will be expected to use their initiative and be able to work unsupervised, undertaking projects as and when necessary. The post holder will also be required to communicate effectively and efficiently with all levels of management and staff, displaying a high level of tact and diplomacy at all times and processing sensitive information confidentially.
This role will help all staff to share the workload; managing staffing levels to ensure holiday and other absence do not affect service.
It is likely that the role will develop over time as processes, systems and reports are developed and this role is able to take ownership of aspects of this.
Main duties of the job
* Direct line management responsibility for the Reception Team, ensuring all team members have regular documented 1:1s, personal development plans and attend all training required.
* Manage sickness, annual leave, recruitment and retention.
* Plan, allocate, and oversee the work of the Reception Team.
* Manage clinical and reception team rotas, allocating shifts and finalising pay using the Health Roster system for both clinical and non-clinical teams.
* Ensure new members of staff are set up appropriately, coordinating the induction and training/placements for clinical staff, and overseeing delivery of induction and training for non-clinical staff.
* Work closely with the Clinical Management Team to maintain continued professional development within the service, organising education days and liaising with the learning and development team where necessary.
* Manage the collection of statistics and Key Performance Indicators, reviewing data for accuracy and ensuring that returns are submitted to the appropriate place in a timely manner.
* Work with a variety of information management systems, e.g., electronic records management, risk and incident management (Ulysses, Adastra, EMIS).
* Play an active role within the team in ensuring projects are delivered, taking on work for small projects where necessary and advising where improvements can be made and identifying possible solutions.

Qualifications
* Educated to Diploma / NVQ Level 4 in Business Administration, or equivalent experience.
* Management or leadership qualification.
Experience
* Knowledge of administration procedures and systems.
* Experience of line management or supervision.
* Good organisational skills with the ability to manage priorities.
* A good level of IT literacy and good working knowledge of typical administrative systems and procedures.
* Good communication skills, both verbal and written including the ability to present to a range of audiences.
