Job Description We have a fantastic vacancy for an experienced receptionist to join our team in Ipswich on a part-time basis. This is a multi-faceted role and your experience in providing high quality office support in a busy and professional environment will be invaluable to the whole team. You will act as the point of contact for colleagues and clients, both over the phone and in person, as well as liaising with product providers and supporting the team with all aspects of the general office administration. Office: Perspective (Clayden Financial) Location: Ipswich Hours: Part Time: Monday, Wednesday & Friday 9am to 5pm with a one-hour break (21 hours) Job Requirements You will need to be motivated, friendly and professional at all times and able to hold conversations with third parties, representing the company in a professional manner. You will also be skilled in, or have the ability to learn: Confident with IT and Microsoft office software packages, especially Teams, Outlook, Word, Excel and PowerPoint. Ability to manage and prioritise workloads. Excellent planning, organisational and multi-tasking abilities. Excellent communication skills at all levels. Ability to produce concise business correspondence, proofread for grammar, spelling and punctuation with a high degree of accuracy. Flexibility/ adaptability to cope with change. A team player with a positive attitude. Job Responsibilities Welcoming visiting clients, providing hot or cold refreshments Distributing incoming post throughout the office and franking/sending outgoing post Ensuring the meeting room diaries are managed efficiently and the rooms are cleared after each meeting Answering incoming calls, responding (where possible) to the client's needs, transferring calls and taking messages Ordering supplies each month to keep office stationary, printer ink and kitchen essentials well-stocked Updating details and filing documents on the back office system, Intelligent Office Typing dictated letters Booking client appointments for Advisers Due to the nature of the business, the role may also include additional responsibilities considered reasonable.
