Job overview
To deliver an effective and competent level of administration and consistently ensure a 'client-focused' service which promotes good customer service and effective working relationships.
The post holder will be required to accurately and timely input and maintain data on data systems, together with the associated correspondence, ensuring standard operating procedures are applied.
Main duties of the job
* Provide specialist secretarial/administration support as directed by line manager.
* Deal with routine and specialist enquiries in a pleasant and helpful manner, communicating relevant information to stakeholders, referring to others as appropriate.
* Ensure that administration team processes are followed in an accurate and timely manner.
* Ensure standard operating procedures are applied.
Detailed job description and main responsibilities
* Arrange/schedule assessments and reviews for Nurse Assessors, including contacting individuals, family members/representatives and other relevant professionals, as required.
* Act as a point of contact for the department, dealing with routine and specialist enquiries in a pleasant and helpful manner, communicating relevant information to stakeholders, referring to others as appropriate.
* Ensure that all complaints, comments and suggestions are dealt with appropriately, in accordance with policy, resolving where possible and escalating to line manager when appropriate and acting as first line of support to the team.
* Inputting into, monitoring and printing reports from computerised systems.
* Demonstrate office systems and department requirements to new starters.
* Have a flexible/adaptable approach to their work in order to meet various deadlines.
Person specification
Experience
* Educated to NVQ 3 level in a relevant subject or equivalent level of qualification or significant equivalent previous proven experience.
* Knowledge and experience of working in an administration environment.
* Ability to delegate tasks to ensure timely and accurate delivery of service.
* Demonstrable experience of working with computerised data systems.
* Knowledge and experience of working in a CHC administration environment.
* Awareness of a range of Health Services provisions.
