Job Summary
MediCom Solutions, a growing medical compliance consultancy in Watford, seeks a highly organised Administrative/ Operations Coordinator to provide essential admin support while assisting with business operations and marketing activities. This role is ideal for someone who is structured, adaptable, and proactive in keeping things organised and running smoothly.
Key Responsibilities (but not limited)
1. Manage the Director’s calendar, emails, and schedules.
2. Organise filing systems (including SharePoint) and ensure easy document access.
3. Assist with invoicing, timesheets, payments, and basic finance admin.
4. Handle contracts and onboarding, ensuring all documents are correctly prepared and filed.
5. Set up new starter emails and workflows in the project management tool.
6. Maintain a tidy, well-organised office.
7. Identify ways to improve efficiency within the company.
Skills Qualifications/Requirements
* A minimum of 3 years’ experience in a similar role, ideally with exposure to a medical, healthcare, or regulated environment.
* Excellent proficiency in Microsoft Office 365, particularly Excel, Word, PowerPoint, SharePoint, Teams.
* Understands how to use LinkedIn for a business and able to make changes to our company website. Content support will be provided.
* Strong organisational and multitasking skills with excellent attention to detail.
* Excellent written and verbal communication skills.
* A proactive, solution-oriented, self-motivated approach. Adaptable and can easily identify ways to operate more efficiently.
Must have a valid UK driving licence and be able to travel to the office.
Hugely beneficial but not essential
* Understand how to use Calendly, Canva, Brevo (email marketing tool) and marketing for a small business.
Location: Watford on-site required. We may consider some remote working after 6 months.
Hours: Part-time, 15 hours per week, with flexibility to work some additional hours if needed. The role may develop into a full-time position as the company grows. Preferred hours of support are between 11 am and 4 pm, though this may vary based on business needs and mutual agreement. Mondays are not required as part of the usual office days. The office closes between Christmas and New Year.
