The Role:
As a Scheduling Coordinator, you will be responsible for coordinating and managing the daily schedules of a field-based team. This includes booking appointments for essential services such as risk assessments, water hygiene maintenance (including tank cleaning, shower disinfection, and water sampling), and plumbing works. The ideal candidate will be highly organised, detail-oriented, and capable of managing multiple tasks efficiently.

Monday to Friday, 8am to 5pm
Key Responsibilities:
1. Scheduling & Coordination: Organise and manage the workload for 22 operatives, ensuring jobs are planned efficiently and completed on time.
2. Job Allocation: Schedule Legionella Risk Assessments, water hygiene services, and remedial plumbing tasks, ensuring smooth operations.
3. Communication: Act as the key point of contact between operatives, clients, and internal teams, confirming job details and addressing any queries.
4. Optimising Workflows: Adjust schedules as needed to accommodate changes, minimise downtime, and maximise productivity.
5. Client Interaction: Keep clients informed about scheduling, ensuring expectations are met and a high standard of service is maintained.
6. Record Keeping: Maintain up-to-date records of schedules, staff availability, and job progress.
7. Team Collaboration: Work alongside the Head of Operations and field teams to ensure fair workload distribution and team efficiency.
8. Problem-Solving: Handle scheduling challenges quickly and effectively, finding solutions to ensure seamless service delivery.
Requirements:
1. Knowledge of water hygiene and Legionella control procedures would be advantageous.
2. Background in coordinating and managing work schedules in a fast-paced environment is essential.
3. Ability to juggle multiple tasks and prioritise effectively.
4. Confident in liaising with operatives, clients, and internal teams, both verbally and in writing.
5. Familiar with scheduling software, CRM systems, and Microsoft Office.
6. Quick thinker who can handle last-minute changes and scheduling challenges.
7. Works well with colleagues, supporting the Head of Operations and wider team.
