As Personal Assistant, your key responsibilities will include:
1. Coordinating meetings and schedules
2. Preparing, collating, checking and distributing confidential documents, reports, presentations, agendas and minutes
3. Monitoring and responding to emails, ensuring timely follow-ups and resolutions
4. Ensuring the Director is fully prepared for meetings by organising relevant materials and information
5. Handling a variety of administrative tasks such as maintaining diaries, managing correspondence, arranging meetings and events, booking travel and accommodation, and processing expenses
6. Managing the prioritisation of daily tasks and ensure smooth workflow
7. Liaising with a wide range of internal and external stakeholders to ensure effective communication and coordination
8. Scheduling personal appointments such as dentist, doctor and other necessary services
9. Coordinating vehicle insurance across multiple countries
10. Overseeing the planning and scheduling of holidays, travel and appointments for the executive team
11. Creating and managing rotas for household staff
12. Handling personal purchases and ensuring timely deliveries
