Traffic Planning Manager

Days - Monday to Friday, shifts 10 hours between 6am and 11pm and every 3rd Saturday AM
Duties and Responsibilities:
Drivers – Administration
* To ensure that drivers hold the appropriate licence for the vehicle they are driving (including non-GB vocational drivers from EU member states who are required to register their driving licences with DVLA within 12 months of being resident).
* To ensure that regular checks are carried out on the drivers’ licences.
* To ensure that vocational drivers hold a valid driver CPC qualification (DQC).
* To ensure that all drivers hours’ records are kept for a period of no less than 12 months and are made available upon request.
* To ensure that all working time records are kept for a period of no less than 12 months and are available upon request.
* To assist administration with any relevant employee documentation to ensure compliance of legislation and company procedures.
Drivers - Management
* To provide general management and feedback to drivers where required.
* To ensure compliance with the driving hours’ rules (EU or domestic hours’ rules).
* To ensure that the drivers are recording their duty, driving time and rest breaks on the appropriate equipment or in the drivers’ hours’ books and their records are handed back for inspection as required.
* Where appropriate, to download and store data from the vehicle digital tachograph unit (at least every 90 days) and from the driver’s tachograph smart cards (at least every 28 days).
* To ensure that drivers’ hour’s records are retained and are available to be produced during the relevant period.
* To ensure that the records are retained for the purposes of the Working Time Directive (WTD) and that they are available to be produced during the relevant period.
* To ensure that drivers are adequately trained and competent to operate all vehicles and equipment.
* Ensure the Drivers are working within legislative requirements and remain fully trained in relevant Health & Safety requirements of Drivers and Working Time Regulations.
* To contribute to relevant training and subsequent disciplinary processes as required.
Drivers – Operations
* To ensure that drivers are completing and returning their driver defect reporting sheets and that defects are recorded correctly.
* You should ensure that within the department the Drivers return all defect reports, timesheets, delivery notes and tachographs - ensuring the administration staff are in receipt of the relevant documentation.
* To ensure that all drivers and mobile workers take adequate breaks and periods of daily and weekly rest (as per the relevant regulations which apply).
Planning – Operations
* To ensure all activities and delegated tasks are conducted cost effectively and efficiently, whilst remaining compliant with the Company’s Operators Licence at all time.
* To organise, allocate work and manage the co-ordination of all or part of the Customer’s supply chain process, including distribution, logistics of the Drivers and routes.
* The Traffic Planner is required to support and advise drives to ensure optimal routing of vehicles and the department to meet customer specification and Company Targets.
* To support and advise drivers whilst en route and devise optimal routing of vehicles.
* Maintain and update Transport Administration Systems.
* To be flexible to accommodate changes that occur within the Traffic Department.
* Routing and planning for various contracts and areas of the business such as Rigids, Artics, Pallet Networks.
* Liaise with Sub-contractors where required, obtain quotations and undertake negotiations where appropriate.
* Provide quotations and negotiate prices directly with customers using agreed tariff rates.
* Ensure the profitability and utilisation of all vehicles is optimised.
* Complete all invoicing/pricing requirements by month end deadlines.
* Ensure all information is recorded on jobs to ensure nothing is missed when it comes to pricing.
* Accurate and detailed information is gathered for all projects and communicated promptly to the Directors or Customers.
Vehicle – Administration
* To ensure that vehicle maintenance records are retained for a period of no less than 15months and are made available upon request.
* To ensure that vehicles are specified as required and that operator licence discs are current and displayed correctly.
* To ensure payloads notifications are correct, height indicators are fitted and correct, and tachograph calibrations are up to date and displayed.
* To ensure that there are up to date certificates of insurance indemnifying Company cars, commercial vehicles and plant.
* To ensure a suitable maintenance planner is completed and displayed appropriately, setting preventative maintenance inspection dates at least every 6 months in advance and to include the Annual Test and other testing or calibration dates.
Vehicle – Management
* To ensure that vehicles and trailers are kept in a fit and roadworthy condition.
* Any defect to a vehicle or equipment reported to you is your responsibility to ensure is repaired and/or made unavailable until rectified. Through communication with the workshop and garage ensure all scheduled maintenance is undertaken and factored into schedules and replacement vehicles available.
* To ensure that reported defects are either recorded in writing or in a format which is readily accessible and repaired promptly.
* To ensure that vehicles or trailers that are not roadworthy are taken out of service.
* To ensure that vehicles and towed equipment are made available for safety inspections, service repair and statutory testing.
* To ensure that safety inspections and other statutory testing are carried out within the notified O-licence maintenance intervals (ISO weeks).
* To liaise with maintenance contractors, manufacturers, hire companies and dealers, as might be appropriate and to make sure certain vehicles and trailers are serviced in accordance with manufacturer recommendations.
