Job Overview
This is an exciting post, working within the specialist palliative care team across MBHT and based in Westmorland General Hospital. The role will consider all aspects of the patient pathway, including:
1. Ensuring all patients receive appointments in a timely fashion and any other aspect of the patient pathway.
2. Supporting outpatient clinics, including transcribing of letters following consultation.
3. Supporting patient referrals to other agencies, e.g., local hospices, Cancer care, Citizen’s Advice.
4. Liaising with and supporting patients and relatives as required on behalf of the service under the supervision of the specialist palliative care nurses or consultants.
5. Responsible for supporting the day-to-day coordination of the service and data management of the Specialist Palliative Care Team, including collection and interrogation of data.
6. Working with other team members to ensure timely care and optimal service delivery.
7. Exercising initiative in keeping with the needs of the role while maintaining confidentiality at all times.
Main Duties of the Job
This is a blended role of administration and patient navigation, which includes supporting the Medical and Nursing staff within the service to ensure the highest level of patient experience. The role includes:
1. Supporting patient outpatient clinics and booking appointments for patients.
2. Transcribing clinical outpatient letters.
3. Supporting with data collection and patient referrals.
4. Performing administrative tasks using Excel, Word, and Office 365 to support service delivery and improvement.
5. Working closely with the Medical and Nursing staff of the small specialist palliative care team under the direction of the Team Lead.
Person Specification
Education
* NVQ3 in Business Administration or equivalent.
* EDCL or recognized experience.
* GCSE Maths and English or equivalent.
* Shorthand qualification.
Experience
* Experience of undertaking a range of secretarial duties, including diary management, answering telephone queries, audio typing, and data collection.
* Experience of using MS Office systems.
* Experience of supporting a small team of staff.
* Experience of dealing with patients/carers/families.
* Previous experience as a medical secretary in a medical setting.
* Experience of using digital dictation machines and software.
* Experience of creating spreadsheets and documents.
Skills, Ability, and Knowledge
* Knowledge of data protection and confidentiality issues.
* Evidence of good, clear communication skills with good language skills.
* Demonstrates a high level of motivation.
* Demonstrates an understanding of palliative and end-of-life care.
* Awareness of health and safety/governance issues.
* Ability to travel across sites as required.
* Able to work under minimal supervision/use initiative.
