The Role:
Due to business growth, we are looking for an Executive Assistant to provide support to two Managing Directors. This position requires an experienced individual who can efficiently manage business and personal administration, ensuring smooth day-to-day operations and seamless coordination.
The Executive Assistant will play a crucial role in supporting the leadership team, requiring a strong work ethic, excellent communication skills, and the ability to build trusted relationships with both internal and external stakeholders. Discretion and professionalism are paramount.
Key Responsibilities:
* Executive Support:
* Ensure the Directors meet all commitments and deadlines by keeping them informed of upcoming events and priorities.
* Extensive diary and travel management, including scheduling meetings, conference calls, and itineraries.
* Prepare agendas, presentations, and reports; take minutes and follow up on action points.
* Research, analyse, and assist in project management to support business objectives.
* Handle confidential information with discretion and professionalism.
* Personal Assistance:
* Manage personal administration tasks for the Directors, including scheduling personal appointments and coordinating travel and accommodation arrangements.
* Assist with ad-hoc personal errands and administrative duties as required.
* Liaise with external contacts and service providers on personal matters when necessary.
* Office & Business Support:
* Review existing supplier contracts, present alternative options, and negotiate cost-effective solutions.
* Assist with the implementation of new business processes and systems.
* Provide general business support to the Head Office and Operations teams as required.
* Handle queries from individuals at all levels, including important visitors, staff members, and service partners.
Skills and Experience Required:
* Proactive and highly organised self-starter who can work independently and efficiently.
* Exceptional time management and ability to multitask in a fast-paced environment.
* Strong communication skills (both written and verbal), with the confidence to liaise with senior stakeholders and external contacts.
* Meticulous attention to detail and accuracy.
* Discretion and confidentiality when handling sensitive information.
* Experience of preparing agendas, taking professional minutes, and managing follow-ups.
* Numeracy skills and the ability to cost and manage projects effectively.
* Proven experience in a similar Executive Assistant / Personal Assistant role.
* Advanced proficiency in Microsoft Office Suite.
* Eligibility to work in the UK.
