Headington Rye Oxford is seeking to appoint an enthusiastic and highly motivated Admissions Co-ordinator to join the busy Admissions and Marketing team to lead on all Prep School Admissions.
The purpose of this role is to manage admissions applications to Headington Rye Oxford, providing a high level of customer service throughout the admissions cycle. The successful candidate will be a confident and personable communicator, with previous experience of working in a busy customer-facing role.
This is an exciting time to join the team following Headington Rye Oxford’s Prep School's move onto the larger 12-acre Rye site in September 2024. This will therefore be a pivotal and strategically important role as the School grows the size of its Prep School, accepting applications from both boys and girls for Nursery through to Year 6.
Admissions and Marketing Department
The Marketing and Admissions teams are located together in Boundary Cottage on the Senior School site, a five minute walk from the Prep School site. Our team of Admissions staff manage local, national and international enquiries for places across all entry points to the School, from initial contact to enrolment.
The Admissions team sits alongside the Marketing team which generates interest in the School through advertising, press, publications and social media and manages the website.
The Marketing and Admissions teams work closely together to present a strong and welcoming image of the School to feeder schools and prospective families alike, running open events and entrance days and attending Future Schools Fairs both at home and abroad.
Role Description
The Admissions Co-ordinator role is a full-time, permanent, all-year round position.
Key Responsibilities
1. Manage school admissions from initial enquiry to first day at school.
2. Build rapport with prospective families.
3. Ensure each prospective family receives a timely and appropriate response that leaves them with a positive impression of the School.
4. Support the management and smooth running of the admissions database (Metis) and take responsibility for candidate admissions records.
5. Organise and take responsibility for the smooth running of individual prospective family visits.
6. Organise assessments for prospective pupils.
7. Organise admissions events such as Open Days, Meet the Head events, EYFS Coffee Mornings and New Pupil Days.
8. Be responsible for maintaining the admissions number forecast, regularly reporting and forecasting numbers.
9. Undertake appropriate follow-up after events to nurture new connections, build on existing relationships and encourage prospective families to register and accept place offers.
10. Act as an ambassador for the School, representing the School at internal and external events as appropriate.
11. Support the Registrar as required.
12. Develop strong working relations with teaching staff to ensure smooth delivery of Prep School events.

Qualifications and Experience
1. Experience of showing initiative, resourcefulness and the ability to thrive in a busy environment.
2. Experience of working in a busy office environment with the ability to multitask.
3. Experience showing a grounding in administrative skills and customer service.
4. Degree and/or equivalent professional qualification.
5. Experience of a similar role at another school would be an advantage.
6. An understanding of the highly competitive independent school market.

1. Highly IT literate; knowledge of Google would be an advantage.

Terms of Appointment
Type of Contract
Permanent, full time, all year round.
Pension
Contributory membership of the School’s Support Staff Pension Scheme with a School contribution of up to 9.95 per cent upon successful completion of six months’ service.
Fee remission
In accordance with the School’s policy, which may be subject to change, up to 50 per cent fee remission for girls attending Headington Rye Oxford and up to 20 per cent fee remission for boys attending Magdalen College School (under a reciprocal agreement) and subject to the terms of their policy. Fee remission is calculated on the number of weeks and hours worked and is pro rata for part-time staff who work at least 50 per cent of a normal working week.
£26.6k - £28.6k per annum, depending on skills and experience.
