Skilled Careers are currently headhunting for a strong Document Controller to join a leading property services business with a large presence in the UK. This is an office-based Document Controller role with little to no travel to site.
The successful candidate must have a minimum of 3+ years experience as a Document Controller, a construction industry background, and the ability to work across multiple projects at the site level. They will support the Lead Document Controller in overseeing other projects and staff as needed.
This role is critical in ensuring that project documentation is accurately maintained, securely stored, and efficiently distributed using ACONEX. The successful candidate will be responsible for ensuring compliance with company document control procedures and industry standards across their projects.
DOCUMENT CONTROL DUTIES To include but not limited to:
* Ensure high standards of Quality Assurance for all project documentation, ensuring compliance with project naming conventions and document control protocols.
* Ensure the accuracy, integrity, and security of all project documentation.
* Register received information within EDMS where required.
* Manage revision and status control of all project documentation.
* Maintain and ensure integrity, accuracy, quality, and security of electronic documents.
* Maintain and ensure integrity, accuracy, and quality of document registers.
* Effectively manage the flow of project information and maintain document distribution lists.
* Monitor and manage workflows for consultants/design team documentation.
* Ensure full auditability and traceability of design coordination processes for consultants/design teams.
* Monitor and manage workflows for review and status of subcontractor/supplier documentation.
* Manage and maintain project directory within EDMS.
* Generate reports within EDMS for projects as required.
* Coordinate information for operation and maintenance manuals and project handover.
* Assist with other projects and duties as required.
* Provide training and guidance for project teams at all levels for EDMS.
* Ensure Aconex project administration is carried out with correct security settings assigned and maintained for all users/organizations.
* Collaborate with the quality team and assist in defects and inspections on field.
* Provide assistance and support to the Lead Document Controller.
* Regularly report on the status of documents in the document register.
* Carry out regular project audits to ensure quality and project health.
Qualifications:
* Minimum of 5+ years experience as a Document Controller.
* Construction industry background and experience of working in a construction site environment.
* Experience in monitoring various document control processes and assurance.
* Extensive knowledge and experience with electronic document management systems, MS Office suite, Adobe, and PowerPoint.
* Must be customer/client/project focused with excellent oral and written communication skills.
* Excellent attention to detail and accuracy, able to work with a high volume and variety of documents.
* Highly organized and process-driven.
* Familiarity with relevant industry standards and regulations, including ISO 9001 and ISO 19650.
* Able to work independently and in a team environment.
* Able to prioritize workload, work under pressure, and meet specified deadlines.
* Self-motivating, self-auditing, and maintaining high-quality standards.
* Experience with subcontractor and supplier approval processes.
