JOB SUMMARY Reporting to the Director, Sea Operations, the Coordinator, Sea Operations plays a vital role in ensuring a seamless experience for performers, crew, and freelancers joining our fleet of ships. From onboarding new talent to managing travel logistics and payroll, they are the key point of contact for sea-based team members. KEY TASKS Role & Responsibilities Overseeing onboarding for performers, musicians, cruise staff, and technicians, ensuring all documentation is complete and compliant. Managing travel, accommodations, and STCW course arrangements when required. Coordinating rehearsal logistics, joining instructions, and repatriation processes. Handling payroll-related tasks, including payment tracking, reimbursements, and financial reconciliation. Liaising with key partners, including Viking Crew, finance teams, and immigration authorities. Ensuring smooth onboard operations by maintaining accurate records, processing necessary approvals, and supporting key production and delivery teams. Qualifications & Skills: Experience in operations, logistics, or talent coordination is preferred. Understanding of STCW requirements, crew travel logistics, and maritime regulations is beneficial. Proficiency in Microsoft Office (Excel, Word, Outlook) and experience with database and project management software preferable. Familiarity with financial processes, payroll coordination, or invoice tracking is a plus. Strong organisational and administrative background, ideally within the cruise, entertainment, or hospitality industry. Organisational Excellence – Ability to manage multiple tasks, deadlines, and stakeholders efficiently. Attention to Detail – Ensuring compliance with documentation, payments, and scheduling Communication & Coordination – Strong interpersonal skills to liaise with performers, crew, agencies, and internal teams. Problem-Solving Mindset – Quick thinking to resolve travel, payroll, or logistical challenges. Financial Acumen – Experience with budgets, expense tracking, and payment processing. Adaptability – Thrives in a fast-paced, ever-changing cruise environment.
